In today's digital age, the integration of artificial intelligence (AI) into office software applications has revolutionized the way we work. From Microsoft Office 365's Copilot to Google Workspace's Gemini, AI tools are increasingly becoming indispensable in our workflows. Yet, amid the excitement and the occasional unease surrounding AI, it's crucial to understand that AI is not a sentient savior for the workforce. Instead, it functions as a sophisticated tool, akin to the templates we use in Office software, providing a foundation upon which professionals can build and innovate.
The concept of the Uncanny Valley, often discussed in the context of robotics and computer-generated imagery, refers to the eerie feeling people get when they encounter something that is almost, but not quite, human-like. This unease stems from the human tendency to detect imperfections and inconsistencies in things that appear nearly human but fail to achieve full realism. Similarly, in the realm of AI, there is a fine line between appreciating the capabilities of AI tools and becoming wary of their near-human performance.
For those not aware of this concept, a great example of this concept is explained in the Matrix trilogies, where the AI or "Machines" had a difficult time creating a believable simulation. They found that simulations that were too perfect or devoid of hardship were rejected by humans, who detected inconsistencies with the human condition. This demonstrates how slight imperfections or a lack of relatable experiences can make a simulation feel eerie and unbelievable. This concept translates over to our growing use of AI, especially in marketing materials including text, images, and video. Though many cannot explain it, when presented with materials that are purely AI-generated, they describe feeling that it often feels unauthentic or that something is “off” about it. This is where I often state that AI-generated content is a resource and should never be blindly trusted or submitted without the final review and approval including human involvement.
The Role of Templates in Office Software
Templates in Office software applications like Microsoft Word, Excel, and PowerPoint have long been utilized to enhance productivity and efficiency. These pre-designed formats allow users to quickly create documents, spreadsheets, and presentations without starting from scratch. No one, in my experience, deems it cheating or dishonest to use these templates unless someone falsely claims the work as entirely their own. This widespread acceptance of templates highlights a crucial point: tools that facilitate our work are not substitutes for human creativity and input but rather enhancers of our capabilities.
When we use a PowerPoint template, we are not claiming to have designed the slide layout ourselves. Instead, we are leveraging a pre-existing structure to present our ideas more effectively. Similarly, when we use AI tools, we should not abdicate our responsibilities as professionals. Instead, we utilize these advanced technologies to streamline our processes, allowing us to focus on the more nuanced and creative aspects of our work.
AI as an Advanced Template
AI functions much like an advanced template. It provides detailed and intricate groundwork, offering a starting point that professionals can refine and build upon. For instance, Microsoft Office 365's Copilot can generate content, suggest edits, and even automate repetitive tasks. However, it is the human touch that ultimately polishes and personalizes the output, ensuring that it aligns with specific objectives and standards.
Google Workspace's Gemini, similarly, offers AI-driven suggestions for writing, data analysis, and presentation design. These suggestions are not final products but rather preliminary drafts that require human intervention to reach their full potential. Just as a realist walking through a forest navigates the path by acknowledging both the obstacles on the ground and the open sky, professionals must balance the use of AI tools with their expertise and judgment.?
In my workflows, across my various personal and professional applications, I often use AI-powered tools such as ChatGPT, Copilot, and other tools to provide feedback on operational processes, creative inspiration, and alternate suggestions in how I word or structure documents. I am aware of individuals who feel comfortable reading through content created by ChatGPT once and then submitting the work, and I understand their perspective; however, I prefer to take a more thorough approach. I treat AI-generated content as a first draft or a starting point, carefully reviewing and refining it to ensure it meets my standards and accurately reflects my voice and intentions. This approach not only maintains the integrity of my work but also allows me to leverage the strengths of AI while still contributing my expertise and creativity. By balancing the efficiency of AI with human oversight, I can produce high-quality, personalized content that truly serves its purpose.?
Addressing the Uncanny Valley of AI in Workspaces
The discomfort that some professionals feel towards AI can be likened to the Uncanny Valley. AI-generated content that appears almost human-like but lacks the nuance and depth of human thought can evoke a sense of unease. When tasked with creating a blog post about a new product, they input a few keywords and instructions into the AI and accept the generated content without much review. They quickly skim through the text, correct a few grammatical errors, and submit it as their own work. However, the AI-generated content, while grammatically correct and logically structured, lacks a nuanced understanding of the product's unique selling points and the emotional appeal that resonates with the target audience. Readers find the blog post somewhat robotic and disconnected, sensing that it lacks the depth and personal touch of human thought. This response reflects the Uncanny Valley effect, where the almost human-like content feels off-putting due to its lack of genuine human insight and creativity. As a result, the customer continues to look at competing products as they now view the product, consciously or subconsciously, in a disconnected way.?

In contrast, their competitor uses AI as a collaborative tool. Given the same task of creating a blog post about a new product, this professional starts by feeding the AI specific details and ideas about the product. The AI generates a draft, which they then meticulously review, integrating their own knowledge, refining the AI’s suggestions, and adding personal anecdotes and insights that the AI couldn't provide. They understand that while AI can handle basic structuring and provide a solid foundation, it cannot replicate the nuanced understanding of the product or the emotional connection required to engage readers fully. By combining the AI's efficiency with their own expertise, they create a blog post that is both well-written and rich in human insight, avoiding the discomfort associated with the Uncanny Valley and maintaining authenticity and depth. The customer finds their advertisement after continuing their search and has a more pleasant experience, thereby building more rapport with this brand.?
Ethical Considerations and Professional Integrity
The ethical considerations surrounding the use of AI tools are paramount. Transparency and honesty in how we use AI are crucial to maintaining professional integrity. Claiming AI-generated work as entirely our own undermines the value of human effort and creativity. It is important to acknowledge the role of AI in our workflows while taking credit for the unique contributions we make as individuals.
Using AI responsibly also involves understanding its limitations. AI can analyze vast amounts of data and identify patterns that may not be immediately apparent to humans. However, it lacks the ability to understand context, appreciate nuance, and make subjective judgments. These are qualities that only human professionals can bring to the table.

In the parable of the pessimist, the optimist, and the realist, it is the realist who successfully navigates the forest by acknowledging the environment's complexities and adjusting their path accordingly. By recognizing AI as a powerful yet imperfect tool, we can harness its capabilities to enhance our workflows without losing sight of our own creative and intellectual contributions.

Although we do not often think about the human connection when drafting financial reports or inter-office memos, we must remember who our internal and external customers are.
