Email Etiquette When Applying For a Job

In today’s day and age a lot of us are applying for jobs in different companies. Gone are the days where people used to drop their resumes at an office reception though at some places it is still taken into consideration but of course keeping in mind the pandemic of 2020, many companies will be hesitant to let unknown people walk into the office in the near future.

Hence, in this topic I would like to cover certain email etiquette that one must keep in mind when applying for a job through email.

Keep the subject line clear

When applying for a job make sure you are careful about highlighting the role you are applying for in the subject line of an email. Recruiters receive tons and tons of resumes on an everyday basis, by keeping the subject line clear with the role you are applying for only increases the chance of your resume being noticed by the recruiter.

Let us take for instance, a MNC is hiring a Human Resource Executive, hence when sending your application for this role, you must write the subject line of the email in the following manner:

“Application for the post of Human Resource Executive at <company name>”

In a similar manner, whatever job advertisements you come across make sure to be clear on the subject line with the role you are applying for.

Write an appropriate email body

One must always accompany their resume with an appropriate email body, by sending a blank email without a body and subject line and with only a resume in the attachment leaves a negative impression in the minds of the recruiter and perhaps lowers your chance of getting an interview call. An extra five minutes in drafting an appropriate email body will only increase the chance of your job application being noticed and thereby increasing the possibility of getting an interview call. However, make sure to keep the email brief and as short as possible. The goal should be – “minimum words, maximum information.”

One can observe the following template when sending a job application email to a recruiter.

“Hello,

Hope you are doing well.

Writing this email to express my interest for the role of <mention the role you are applying for> I have an overall experience of <mention your employment duration> as a/ an <mention the designation> where my role involved <mention your role in short> and I am currently based out in <mention your location>

Hence, attaching with this email is my updated resume for your reference. Would request you to kindly review it and let me know the further process accordingly.

Look forward to hearing from you at the earliest.

Thank you & regards,

<Name> | <Phone number>

Avoid bulk emailing recruiters

There could be a situation where you have come across job vacancies with different companies and all of these vacant positions could possibly be relevant to your expertise and most of these job advertisement will include the contact details of the recruiter along with his/ her work email ID and it’s completely fine to share your resume with different companies. However, one must avoid sending their job application email to multiple recruiters in one go as this is deemed unprofessional and proves the candidate’s lack of interest in actually writing an email. If you are genuinely in need of a job, invest an additional amount of time in sending your job application email to one recruiter at a time and if you are aware of their names, begin your email by addressing their names.

Therefore, in order to get your dream job, always be one step ahead of the flock while applying for a job. Always remember that, right from the time you send your job application to the time you are selected, you are being judged. The above mentioned email etiquette must be kept in mind and hoping this would serve as a guideline to all the job seekers out there.

One thing I have noticed here on LinkedIn is that most job seekers don't mention their email id or contact details on their profile. #Jobseekers be reachable for recruiters & ensure basic email etiquette's.
