Life is a learning process and so is the knowledge. A person, who isn’t open to learning from others, is simply holding himself away from a lifetime opportunity of shared knowledge. As you move along your career in time, you will meet number of people depending on the size of your organization and some of them will make your wonder why they stand apart from others when it comes to efficiency and hard work. They are entirely a different species in all and are very effective and productive in whatever they do.
This article is inspired from the life of someone whom I had personally known and I had a slight privilege to have worked by his side in my career. He is a very hard-working person, smart, effective, productive and efficient and he knows the exact meaning of giving attention to detail when it comes to concluding a task in style. He is working as a manager in one of the reputed Public Sector Banks. I have closely observed his working style and I must say it’s a class apart. Today I am going to share with you guys what I have observed and all that I have learnt from him about productivity, efficiency and attention to detail. I’m sure these might be of some good use to you as well.

This big fellow could remember everything, but he would still carry his digital tablet everywhere in order to make a list of things that needed to be done throughout the day and schedule it on outlook for timely reminders. He would paint them with all colors the whole day to mark out what’s done and what’s not. Remember, your brain is for having ideas, not holding them. Lists are like your brain’s external hard drive. By jotting down tasks, you’re freeing up mental space for creativity and problem-solving. Plus, there’s an inexplicable joy in crossing things off. It’s like mini-celebrations throughout your day.
2. The Pomodoro Technique: Not Just a Fancy Tomato Timer
He would sit on his work and someone would always come up to him for some work. Distracted he would be. Then he would come up to me and say “Sir, let’s have some juice.” Oh yeah! Then he would take a break, accompanied by someone, sometimes alone, come back, work, still finish the task like a boss, wrap up on time, go home. It’s like, work for 25 minutes, break for 5. This simple technique is like interval training for your brain. It keeps you focused and fresh. Plus, you can pretend you’re in a thrilling race against time and trust me you always win.
3. Perfectionism: The Art of Doing It Right, Not Doing It Forever
He would take extra time in finishing off the task but he always did it right no matter how. Never have I seen him making blunders except for a couple of time in the whole year and that too because of some jackass. He would always plot inside his head what was to be done, how and when. He would never keep anything for the last minute. Which means attention to detail is admirable, but perfectionism can be a sneaky black hole. Aim for excellence, not perfection. Remember, done is better than perfect, especially if ‘perfect’ never gets done.
4. Delegate Like a Pro: Clone Yourself, Sort Of
He knew exactly who could do what. He knew the skills his teammates were holding and he would delegate the task accordingly. So, you’re not a superhero. It’s better to delegate tasks that don’t require your unique skill set. It’s like cloning yourself and trusting the process.

Like I already mentioned, he would use his outlook very effectively, set reminders for himself, schedule tasks, check emails, reply to what was important and delete what was not required. How many of us do that? Maybe a handful of us, and if you are one of those, then you are definitely a different breed. But if you are not, start treating your inbox like a to-do list. Read it, deal with it, and move on. Don’t let emails pile up like a digital Mount Everest. Remember, ‘Inbox Zero’ is not a myth; it’s a lifestyle.
6. The Two-Minute Rule: Beat Procrastination with a Quick One-Two
If a task takes less than two minutes, do it now. I have already mentioned about the fellow that he would keep nothing for the last minute. That was his mantra. Actually, it’s very effective. This rule is a sneaky way to beat procrastination. It’s like tricking yourself into being productive. Before you know it, you’ve tackled a mountain of mini-tasks.
7. Meetings: Where Time Goes to Die
He would keep all his meetings short and he hated being called by the big boss for he believed it was a sheer waste of time. He would keep his meetings precise and to the point. He would make time for another juice. So, keep meetings short and sweet. Set an agenda and stick to it. Remember, if a meeting can be an email, make it so. Your future self will thank you for the extra time to actually work and for coffee.
8. Rest: Your Secret Efficiency Weapon
About him on this front, I have nothing to say for he was good at it as well. I remember we had a hideout room inside when all our old records were kept. If you don’t find him anywhere, you would definitely find him there, resting. All work and no play makes Jack a dull boy, and an inefficient one too. Rest is not a luxury; it’s a necessity. It’s like hitting the reset button for your brain. Plus, naps are great. Embrace them.
