Efficiency & Technology

The pursuit of efficiency should not just be a goal; it is a necessity for survival and growth. As Bill Gates aptly put it, “The first rule of any technology used in a business is that automation applied to an efficient operation will magnify the efficiency. The second is that automation applied to an inefficient operation will magnify the inefficiency.”

This statement encapsulates the critical relationship between technology and efficiency.

But as I look around at how technology is used, in businesses, in government departments and even in the home, I fear we are falling far short of efficient and productive processes.

The allure of technology can sometimes overshadow the foundational elements of business operations. It is not uncommon to see businesses rush to deploy the latest technologies, only to realise that their core processes were not optimised for such advancements. This haste can inadvertently highlight inefficiencies, as the easier it is to deploy technology, the more glaring the inefficiencies in the business processes appear.

Moreover, technology, while designed to simplify, can sometimes complicate decision-making. The infamous phrase “computer says no” reflects a scenario where technology, instead of serving as a tool for empowerment, becomes a barrier to common sense and human judgment.

This is often the result of over-reliance on automated systems without the necessary checks and balances that account for the nuances of real-world scenarios.

In the quest to harness technology, businesses may also fall into the trap of applying technological solutions to the easiest tasks, rather than the most impactful ones. It’s crucial to identify areas where technology can bring about the most significant improvements and not just the most convenient ones.

To navigate these challenges and truly harness the power of technology to enhance efficiency, here are my top three tips:

1. Define Success and Reverse Engineer

Start with a clear vision of what success looks like for your business. What will it feel like to work in that business?? Where will technology be applied, and just as importantly, where will humans add the most value to your customers? Once that vision is established, work backward to determine the most effective technological interventions to bridge the gap between the current state and the desired outcome.

2. Adopt a Data First Approach

Understanding your data sets and the relationships between data points is paramount. Data is the lifeblood of digital transformation, and a thorough comprehension of your data landscape will inform smarter decisions and more effective automation.??

When building out your technology strategy, start with the data.? What does your data tell you about your business and customers?? How can you use this data more effectively to become a data-driven business?

3. Map Out Processes to Eliminate Waste

Before introducing automation, it is essential to streamline your processes. Identify and remove bottlenecks, wasteful steps and duplication, to ensure that when automation is applied, it is enhancing an already efficient operation. I still prefer traditional techniques of brown paper and post-it notes for process mapping before transferring into a process management tool.? Keep it simple and don't use technology just because it is there!
