Effective resource management involves not only planning but also allocating, monitoring, and optimizing resources. Proper coordination ensures that the project is delivered on time, within budget, and at a high level of quality.?

Oktawia: My task is to plan resources appropriately at every stage of the project. It's crucial not only to assign the right people to the right tasks but also to monitor how resources are being utilized during the project's execution. I work closely with Cezary to ensure that the team has access to the necessary tools and technologies. As the project progresses, we verify whether the initial choices we made are proving to be effective.?

Cezary: As a Tech Leader, I need to be aware of both the technical and soft skills within my team. When assigning tasks, I focus not only on the time required for completion but also on promoting knowledge sharing. This approach helps the team feel secure during absences and vacations, while also preventing monotony. It encourages collaboration and interaction among team members, which is especially important in a remote work environment.?

At the same time, I strive to consider individual development goals to ensure tasks align with their aspirations. Regular 1:1/2:1 meetings help me better understand each team member’s growth direction and how I can support their career path by offering relevant project opportunities. This boosts engagement while helping the team develop their skills.?

Resource Planning?

The first step in resource management is proper planning. This means identifying the resources needed at each stage of the project, including team members, technology, materials, and the budget for their maintenance. A key challenge here is accurately forecasting what resources will be required in different phases of the project.?

Example Tools we use:?

?Microsoft Project: This tool allows for the creation of project schedules with task breakdowns and resource assignments. It also enables tracking resource workload and availability in real-time.?

?Confluence: We use Confluence to maintain spaces that holistically gather information about where specific individuals will or might be involved, especially in cross-project situations.?

Resource Allocation?

Once resources are planned, the next critical step is to assign team members to tasks effectively. We pay particular attention to the real workload of the team because assuming that a daily FTE equals 8 hours of actual work on tasks is unrealistic, especially when the team works in Scrum. Therefore, our measure for resource planning is velocity, which we estimate based on experience from previous sprints.?

Tools like the Backlog and Scrum Board in Jira make it easy to assign tasks to team members while simultaneously verifying their workload.?

Monitoring Resource Utilization?

It's extremely important to continuously monitor how efficiently resources are being used. This involves tracking work progress, checking resource availability, and identifying any cases of overloading. The project manager should constantly analyze resource workload and make changes to allocations if necessary.?

Example Tools:?

??Time Tracker in Jira: This time-tracking tool monitors how team members allocate their time to specific tasks, allowing for an analysis of whether resources are being used efficiently.?

??User Workload Reports in Jira: These reports estimate the time for all unresolved tasks assigned to a user within the project, making it easier to assess workload.?

??Burndown Chart: This chart tracks the total remaining work and predicts the likelihood of meeting the sprint goal.?

??Cumulative Flow Diagram: This diagram shows changes in the status of issues over time, helping to identify bottlenecks that require attention.?

Resource Optimization?

Resource optimization is key in resource management—maximizing the use of available resources without overburdening the team. Optimization involves not only people but also technologies and other resources used in the project. This often requires changes to the plan if resources prove insufficient or if they can be used more effectively.?

At this moment we use Zabbix Dashboard. It’s automated dashboard, which tracks the availability and workload of environments. It allows us to respond quickly to any workload issues.?

Managing Resource Risks?

Every project carries risks related to resources, from resource shortages and overloading to changes in resource availability during the project. Resource risks need to be identified early and managed continuously to avoid delays or problems caused by an overburdened team.?

With modern tools, managing the team, time, and technologies becomes more efficient, ensuring project delivery on time, within budget, and at the expected quality.
