Is E-Way bill required when E-invoice is generated?

Is E-Way bill required when E-invoice is generated?

E-Way Bill is not required to be generated when an E-Invoice is generated. E-Invoice and E-Way Bill are separate documents under the GST regime in India, serving different purposes.

E-Invoice is generated for recording the transaction details and creating a standardized electronic invoice format. It is generated through the Invoice Registration Portal (IRP) It contains information such as the invoice number, supplier details, buyer details, item description, tax amounts, etc.

E-Way Bill is a document generated for the movement of goods from one place to another when the value of the consignment exceeds Rs. 50,000. It is required to be generated electronically through the E-Way Bill portal. It contains information about the consignment, such as the goods being transported, their value, transportation details, and the parties involved.

While the E-Invoice provides all the necessary transaction details, it does not replace the requirement for an E-Way Bill. Therefore, if the value of the consignment exceeds the prescribed threshold, a separate E-Way Bill must be generated in addition to the E-Invoice.

What is the link between E-Way Bill and E-Invoice?

The link between E-Way Bill and E-Invoice is established through integration and data sharing under the Goods and Services Tax (GST) regime in India. Here’s how they are connected:

Data Transfer: When an E-Invoice is generated for a transaction, relevant details from the E-Invoice are automatically transferred to the E-Way Bill system. This transfer of data eliminates the need for manual data entry, reduces errors, and ensures consistency between the two documents.

Pre-filled Information: The E-Way Bill system receives certain pre-filled information from the E-Invoice, such as the supplier’s and buyer’s details, item description, quantity, tax amounts, etc. This pre-filled information simplifies the process of generating an E-Way Bill as it eliminates the need to re-enter the same data.

E-Way Bill Generation: While an E-Invoice captures the transaction and tax details, an E-Way Bill is specifically required when the value exceeds Rs. 50,000. If the E-Invoice indicates that an E-Way Bill is required, the taxpayer can easily generate it, reducing manual effort and potential errors.

Validity and Enforcement: During the transportation of goods, authorities can verify the validity of the E-Way Bill against the corresponding E-Invoice. If the goods are being transported without a valid E-Way Bill, it may attract penalties and consequences as per the GST rules and regulations.

Overall, the link between E-Way Bills and E-Invoices aims to ensure seamless data integration, simplify compliance processes, and enhance transparency. The integration helps in avoiding duplication of data entry & reducing errors.

  1. To begin, you need to upload the invoice to the invoice registration portal. The GSTN will verify the mandatory details provided.?
  2. Once the validation is successful, the invoice registration portal (IRP) will issue a unique invoice reference number (IRN) and a QR code, which will be added to the invoice.
  3. The data, including the e-way bill details from section 12 of the e-invoice schema, will be transferred to the e-way bill portal using APIs.?
  4. To generate an e-way bill from the IRN, log in to the e-way bill portal and enter the IRN of the invoice for which you need to generate the e-way bill.
  5. If the required details are already updated in the e-invoice, Part-A and Part-B of the e-way bill will be auto-populated.?
  6. After entering the necessary information, click submit. If there are no errors, the e-way bill will be generated, and you can download it as a JSON or PDF file.
  7. This process ensures a seamless integration between the invoice registration portal and the e-way bill system, allowing for easy generation of e-way bills.

Effect of E-Invoice amendment or cancellation on E-Way Bill

The amendment or cancellation of an E-Invoice can have an impact on the corresponding E-Way Bill. Here are the potential impacts:

Once an IRN (Invoice Reference Number) is generated for an E-Invoice, modifications, amendments, or deletions to the E-Invoices are not possible. However, there are alternative options to correct incorrect E-Invoice details. In such cases, the IRN generated with incorrect information can be canceled. This involves canceling the E-Invoice with the wrong details and then creating a new invoice, generating a fresh IRN. It is important to note that the new invoice should have a different invoice number.?The cancellation must be done within 24 hours of generating the IRN.?

Refer to the process for canceling an E-Invoice for more details on how to proceed with the cancellation.

If an E-Invoice is canceled, it signifies that the transaction represented by the E-Invoice is no longer valid. For such scenarios, recently, the NIC clarified that the E-Way Bills must be canceled first followed by the IRN. An E-Way Bill cannot be generated for canceled IRN.

This ensures that the E-Way Bill accurately reflects the status of the transaction and avoids any discrepancies.

It is important to ensure synchronization between E-Invoices & E-Way Bills to maintain consistency and compliance. Any cancellations made to E-Invoices should be?reflected in the corresponding E-Way Bill to avoid any compliance issues.

Impact of E-Way Bill Integration with E-Invoicing

Businesses experience several impacts due to the integration of E-Way Bill with?E-Invoicing. Some of these impacts include:

Streamlined Compliance: The integration ensures seamless compliance as data from?E-Invoices directly populates into the E-Way Bill & GST portal. It reduces manual efforts and minimizing errors.

Efficiency in Documentation: The integration eliminates the need for separate documentation for E-Way Bill. As relevant details are automatically captured from the E-Invoice, saving time and reducing paperwork.

Reduced Discrepancies: By integrating E-Way Bills with E-Invoicing, discrepancies between invoice details and transportation documents are minimized. It ensures accurate reporting and avoiding compliance issues.

Enhanced Control and Monitoring: Businesses have better control and monitoring over the entire transaction process. As E-Invoices and E-Way Bills are linked, enabling effective oversight of goods movement.

Cost and Time Savings: Integration reduces the duplication of efforts and eliminates the need for manual data entry. It results in cost and time savings for businesses.
