Does the “right” tool exist?
TL:DR - It does. And it doesn’t.
My invoicing tool drives me MAD.
I know, I know, as a systems and processes strategist, I’m SUPPOSED to have all my ducks in a row.
But it’s not that simple.
When I opened my business, I used another tool and had my invoices fully automated: with two clicks in my Airtable [affiliate link] (and with Zapier working in the background), I would create an invoice and send it to my clients.
But ever since my business grew, I had to move to a new invoicing tool (which will remain nameless!) that complies with the tax system in Israel.
This tool can’t be automated or integrated with Zapier and doesn’t support what I want it to do. Here’s what I have to endure:
?? The system never remembers my credentials, so whenever I log in, I must provide my email address, password, and my username. AGAIN.
?? Then I get into the dashboard, and the widgets on it are not editable.?
?? Next, I find the client. The interface itself creates the account and an invoice. Okay, that’s not too bad.
?? Then I need to press another button to actually send the client the email with an invoice.?
?? This tool gives me the option to add a few words to each invoice. I want to make it semi-personal, but the templates there are just horrible (and their interface and backend are even worse!).

Long story short, this tool costs me more time than I wish it would.
So of course this isn’t the right tool for me!
Can I work with a better tool? Absolutely. I just haven't found it yet.?
And that’s what most people who reach out to me don’t realize:
There is no such thing as “the right tool for everything”.
It depends on your workflow, the purpose of each step, and understanding what your needs are.
Just because I like a tool doesn't mean that YOU’RE going to like it, and just because YOU like it doesn't mean that I do.
The secret is to understand your process, match it with the tool that’s best for you and maximize it.
Forget about “the right tool”. Find the tools that are right for you. And learn how to use it in the best way you possibly can.
