Document Processing as a Service in the Healthcare Industry: A Case Study

CHALLENGING TIMES FOR HEALTHCARE...

An orthopedic surgery group faces challenges with manual data entry into their new EMR. Although they have taken strides to reduce paper in their medical practice by transitioning to a paperless chart system (EMR) and providing patients with portal access to electronically populate new patient intake forms, they find that their staff is still challenged with massive amounts of paper generated every day.

Their IT director specifically sites two sources of paper back log: (1) previous medical records from other providers which are faxed over and (2) low patient compliance with electronic intake form completion in their portal. These records are crucial to proper medical care for their patients’ and the surgeons and caretakers need quick electronic access within the EMR.

Unfortunately, staff members who are responsible to scan, categorize, and index records into each patients’ charts are also responsible for many key patient care tasks around the surgery center and cannot effectively keep up with the workload. The result is slowed patient care and delayed information to surgical teams, and the surgery group is faced with the pressing need to hire more staff unless they can find an effective solution.

ONE POSSIBLE SOLUTION...

DEXDOX Pro with EMR integration extracts the key fields (chart number, patient first and last name, etc) used to code and categorize important patient information. Desktop scanners programmed to DEXDOX enable the staff to scan medical records with the touch of a button, and integration results in automatic entry to the EMR.

THE BENEFITS...

By automating the classification and coding of physical charts and intake forms, the practice saves time and labor resources. The practice will no longer require additional hires to dedicate to EMR data entry, resulting in cost savings, avoiding time constraints and training challenges, eliminating the time lost by skilled medical staff due to manual entry processes, including the accurate capture and coding of handwritten information. As a result, the new solution speeds the transmission of key information from front desk to surgical team, eliminating delays, improving the overall care for the patients, and creating more availability to see additional patients.

A CALL TO ACTION...

When it comes to the healthcare industry, we're all in this together. It takes a lot of teamwork to keep a medical practice running smoothly. While not every medical practice that reaches out to me is a good candidate for DEXDOX services, if the challenges described above sound all too familiar please feel free to connect with me directly.
