I've held marketing roles in mid-market and enterprise companies in different industries from professional insurance lines to telco and legal to real estate.

Customer and vendor information needs securing in the systems. Decisions are made within general company policy constraints and laws and requires independent decision making.
  5. Accessibility Problems: Accessing creative content and work documents remotely can be challenging, particularly if the system is not integrated with cloud services .
  6. Broken Links: Moving documents within the system can break links, causing disruptions and making it hard to maintain document traceability.
  7. Scalability Issues: As the volume of marketing content and internal standard operating procedure documents grows, legacy systems can become slow and cumbersome, impacting overall productivity.
  8. Reporting Delays: Often forgotten about, the component of the business is reporting and it is much needed for all the decision making. When there are decentralized platforms, there are reporting delays.
  9. Document Retention: Document retention, from expiration lists to title records, often takes a back seat. However, timelines require at least 120 days before expiration to identify which accounts need re-marketing and to decide whether this should be handled by the marketing department or the producers. Now, imagine managing this process annually, for each list and territory, and then multiplying it by the number of years you work at the company. It sounds tiresome. DMS automates this process.

Then there is the vendor management in marketing. I remember the times where the vendors had to be physically present to sign the documents, or the document had to be delivered to them to sign. Collecting signatures accounts for a significant percentage of time spent approving policies, contracts or insertion orders, and other documents. Documents can easily get misplaced in this process and that would mean reprinting the document which becomes a cost to the insurance company as more paper needs to be used.

As a marketer, time is incredibly valuable. Wasting precious hours searching for documents and contracts is not just inefficient—it’s a drain on productivity.
