Do you think before you print?

If you want to reduce the amount you print, (and who wouldn't), then maybe you should join the growing number of companies who have introduced a Print Policy.

A Print Policy is a clear statement detailing how the organisation will reduce the amount and cost of print which is ideally supported by technology which enforces these rules.

These examples are regularly implemented by organisations who are looking remove costs:

  • Double siding - this is a simple one which can potentially reduce your paper costs by 50%
  • Outlook - Should you be printing emails at all? If you need to then make sure you print in B/W only.
  • B/W Printing by default - If users need colour then this must be selected manually.
  • If you need to print in colour then use a Least Solution ensuring colour output is automatically routed to the most cost effective devices.
  • Accurate reporting - you need to know who is printing what.
  • Talk to your staff about the environmental benefits - by using rules to reduce toner and paper you can support your green initiatives and reduce costs.

Organisations are getting the best results by deploying document output control applications which centrally manage the Print Policy, automatically producing documents as required without the need for user interventions. They have the great effect of removing waste print too.

We have all done it, sent a print job and never collected it, output controls can eliminate waste print. A good way to see how much you could save is by collecting all the uncollected documents from your devices at the end of each day for a week, I guarantee you will be shocked!

But really the key question is whether your current provider is talking to you about a Print Policy or not. If they haven't then perhaps its time to question your relationship, after all, the more you print and the more colour you print, the more money you spend.
