Do you know how much your printers are really costing you?

If you do you are doing well as according to Buyers Lab Inc 90% of organisations do not know what they are spending on total document output and that is the heart of it.

Its easy to understand how much the equipment costs, you either purchased outright or are leasing. You know how much you are spending on toners each month or you know how much your service contract is every year but is that all there is to it?

According to IDC its not by a long way, they state that for every ￡1 spent on equipment, organisations are spending a further ￡7 or more supporting and administering their printer devices and when, as detailed by Gartner, organisations are spending an average 3% of annual revenue producing documents, it is no surprise that IT departments, Procurement teams and Financial Directors are looking at their printers with a critical eye.

So doesn't it make sense to be engaging with providers who are talking about how they will lift the burden of support and administration from the business and how they will provide a service and solution which places it's focus on the real cost of printing? Sure you want to get the best deal on your devices but if that's as far as the savings go then you need to ask yourself is this a real saving at all?

Next time you think about your printers and are talking to your provider why not ask them what they plan to do to reduce the number of calls from users to IT or how they will ensure no one has to spend time ordering toners and consumables or how they can help you take control and reduce the amount of print in the business?

And if they stare at you blankly or don't have the answers then maybe its not just your printers you should be upgrading.
