Digital Transformation is a journey. There are five phases as described below. Business leaders can easily recognize where they are in the journey.
Phase 1 | Digitize Information
Your organization is at Phase 1 if you struggle with paper documents which are disorganized and not properly secured. Start by generating new documents using off-the-shelf software such as Microsoft Office. Save them in digital form. Existing paper documents can be scanned so that they can be uploaded, viewed and shared.
Phase 2 | Organize Information
Just like paper can become disorganized, so can digital files. It is easy to ignore such disorganization because it is out of sight, hidden in the hard drive or in the cloud. How can we find the information we need? How do we secure the information? These are the questions we want to answer in Phase 2.
The key is to centralize the information in one digital repository. Establish a set of rules and classification to ensure that the filing practices are consistent. This will allow the information to be readily available, easy to navigate and easy to secure.
Phase 3 | Automate Processes
A lot more important work can be done if staff is freed of administrative tasks such as manually routing information, follow up and data entry. Such tasks take up time and resources. In Phase 3, documents are digital, but the processes are not.

Phase 4 | Streamline Processes
As organizations grow, business processes, even when automated, can be time- and resource-intensive. Processes may be too complex or contain unnecessary steps. Phase 4 focuses on streamlining – examining your automated processes and making them run smarter, faster and better.
Phase 5 | Transform the Business
The availability of vast amounts of digital information makes it easier to spot trends, prevent problems and gain insights into operations. By Phase 5, you have streamlined processes and have a solid method of collecting and organizing information. By automating processes for maximum efficiency, you have integrated your clients and vendors into your processes. You are now ready to innovate and change the way you do business.?
