Maintaining a professional and respectful workplace is essential for the well-being and productivity of the team in any workplace. Occasionally, a sensitive issue may arise that requires tactful handling by a manager. One difficult issue is dealing with an employee who has noticeable hygiene concerns - they smell - and it's disrupting other employees so much that they can't focus on their work. The organization's impact suffers. This is a challenging and delicate situation, and addressing it effectively is crucial for the harmony of the workplace - and maintaining high impact.
1. Approach with Empathy and Respect
It's important to approach the conversation with empathy and respect. The employee may not be aware of the issue or may be facing personal or medical challenges that contribute to the problem. Begin the conversation privately and ensure confidentiality.
Example Opening Statement:
"Hi [Employee's Name], I want to have a private conversation with you about a sensitive matter. It's important to me that we maintain a respectful and comfortable work environment for everyone, and I wanted to discuss something that might be affecting that."
2. Be Direct but Tactful
Clearly communicate the issue without being overly critical or harsh. Focus on the impact the problem is having on the workplace rather than making it personal. Focus on the organization's effectiveness. It's not about you, me, or any particular employee. It's about maintaining a standard of professionalism to get our work done. Use "I" statements to express your observations and concerns.
Example Statement:
"I've noticed a few times recently that there has been a noticeable odor, and it's affecting your interactions with colleagues and our work environment. We need to address it."
3. Offer Support and Solutions
Provide the employee with options and support to address the issue. This may include suggesting they see a medical professional if you suspect a health issue or offering resources like personal hygiene products. In a case I had, the employee was from another country that had hygiene standards different from the U.S. Bathing two times a month was OK. Wearing the same clothes for several weeks without laundering was acceptable.

Example Statement:
"I understand this may be a sensitive topic, and I'm here to support you. If there is anything you need or if you would like to discuss any personal challenges you're facing, please let me know. We can work together to find a solution."
4. Follow Up
After the initial conversation, follow up with the employee to ensure the issue is being addressed and to offer further support if needed. This shows that you are genuinely concerned about their well-being and the workplace environment. Share with them the positive results of their action to remediate the situation.
Example Follow-Up:
"Thank you for understanding and taking steps to address the issue we discussed. I want to check in and see if there's anything more you need or if there's any additional support I can provide."
5. Maintain Confidentiality
Keep the conversation and any subsequent actions confidential. This protects the employee's dignity and maintains trust within the team.
Conclusion
Handling hygiene concerns in the workplace is undoubtedly challenging, but addressing the issue with empathy, respect, and support can lead to a positive outcome for both the employee and the team. As a leader, it's important to create an environment where sensitive issues can be discussed openly and constructively, fostering a respectful and professional workplace for everyone.
By approaching the situation with care and providing the necessary support, you can help maintain a harmonious and productive work environment while ensuring that all employees feel respected and valued.
