The Datavision Users’ Group Conference was held this week at the Margaritaville Hollywood Beach Resort. Our Attendees came from near and far - a special thanks to Kaleo Price from Honua Kai Resort & Spa https://www.honuakai.com/ who traveled the farthest.
Margaritaville does a fantastic job in all areas and we were all treated to phenomenal service and smiles from everyone. With a view of the ocean off the balconies of the meeting room, breaks were spent with a lot of sunshine and the smell of fresh ocean breezes. Since it is always 5 o’clock somewhere, we were always greeted with the sounds of Jimmy Buffet. I think this is what keeps everyone upbeat and smiling.
The days began with session training and report building. Each individual attendee had the opportunity to build the reports as they were learning. They could use their own properties’ data and take it back to share with others. Evenings were spent as attendees and staff spent time at fun receptions and dinners. Time to network!
The Datavision staff and attendees have time to spend with one on ones for even more learning and of course time for laughter. Friendships grow and multiple over the years and although the Hospitality Industry is very large, it seems small when friendships are renewed at meetings and throughout the world. We never know who we may bump into in this industry, or where.

As a Finance Manager, I have found Datavision to be invaluable. I have been fortunate enough to have installed Datavision at 2 properties.
The Finance department produces a daily revenue report each day for our Executive team and Managers to review previous day activity. Prior to Datavision setting up the report for the new month would take 3 days to update prior year data, budget data, forecast data for the day, month and year. In addition, the Night Audit staff would manually key the previous day’s activity into the report. This task was subject to data entry errors. Now we simply change the date, calculate and audit the report. The Daily report is available to staff within 30 minutes each day.
Once I was able to build the Daily report using Datavision this process was reduced to less than an hour each month.
Datavision also captures our financial data in a cube including Actuals, Budget and Forecasts. This allows me to build budget and forecast worksheets that require very little time to update each forecast and budget period. This task used to take days to update each Profit Center. Now the files for all the Profit Centers are updated within a matter of hours. I’m sure I probably haven’t built the files in the most efficient way but even so the time it takes to update is minimal compared to life before Datavision.
My team and I have gained back valued time by using Datavision. It allows us to analyze data rather than spending time building and editing spreadsheets.
The Datavision User’s Conference has provided me with information that will allow me to continue to explore new uses for Datavision at my property. Additionally, as a long-time user I learned new tricks in each session that will allow me to be even more efficient in report building.
