Dangerous Implications of Incomplete or Inaccurate File Viewing Throughout the Hiring Process

As mentioned in my last article, files sharing is an inherent part of many workplace processes. One clear example of file sharing can be found in the hiring processes supported by many companies and recruiters today. Modern applicant tracking portals facilitate candidate uploads of resumes, CVs, cover letters and references as document attachments.?

Due to the ongoing digital transformation and a push from a pandemic that made in-person interaction impossible, many companies have made these applicant tracking systems the primary way to apply for a position within the company. The hiring freeze of early 2020, followed by the “Great Resignation” of top talent then gave way to a hiring wave that strained?Human Resource teams and the tools they use.?

While applicant tracking systems were created to ease the process of interviewing, they are well known to misinterpret or garble the contents of resumes – in fact, the majority of recruiters choose to view resumes in their original format, removing one of the main purposes of such applications. But when multiple people download a resume to view it,?multiple copies of a?candidate’s personal information are created. The more copies of personal data that are created, the greater the risk that data could be stolen or inadvertently leaked.?

The article below explores why Human Resource application tracking systems need to consider the implications of downloading applicant documents with the purpose of viewing such documents?and how to resolve the risks. The article describes some best practices about how these solutions should be handling confidential personal data submitted by applicants within uploaded documents and how @Qualcomm? DirectOffice? can help with that.??

Over the next two months, I’ll continue to post about challenges of document handling within various digital solutions. I invite comments or feedback on the ideas shared – please comment below or send me a direct message to keep the conversation going.??
