D365 Dossier. Edition 2. Apr 24

Automation paves way for efficiency and effectiveness. Albeit the knowledge of the tools and solutions that enables automation is key to achieving the desired outcome. ERP systems are not easy to implement and adopt and are precisely the two major reasons for failure of many projects. It is either the implementation partner’s lack of knowledge of the system or the resistance of the organization (end users) in moving away from the legacy systems and processes.

To be fair to both parties (implementation partner and client), businesses are complex and an ERP solution that handles the key processes will invariably be complex. The key to success is collaboration – with the partner’s continuous investment in innovation and knowledge building and the client’s clarity on the requirements and commitment to making technology as a key enabler for their future.

In this edition of D365 Dossier our focus is on some of the nifty automation tools and functionalities in Microsoft’s Dynamics 365 ERP solutions. Our clients have benefitted immensely, and we see increased inquisitiveness as we continue to engage with organizations on ERP solutions.

Powering up Dynamics 365 Experience for Intelligent Automation

Our client, a Real Estate Development company based in the Middle East, gave us the challenge to further streamline their approval process by eliminating repeated logins to the D365 system.

As a partner when you get such requests, you invariably jump to the easier (rather lucrative) route of customizing the system. The way we see it, customizing a tier 1 ERP solution is a crime unless of course it is something unique to an industry or process. We were aware of a functionality already available, so the job was to customize and build on it, aligning with the client’s requirements. Then it was our Research & Innovation (R&I) team’s responsibility to experiment, evaluate, text, extend and confirm everything that is possible in the out-of-the-box functionality. Voila, we were able to automate the process by providing approval options within the system-generated email. It didn’t stop there, as we extended the approval options in the Mobile App and Microsoft Teams. The user now can configure alerts across four systems – D365, Outlook, Teams, and Mobile App. We achieved all this by experimenting with in–built functionality and fusing it with Power Automate.

D365 in Action

A growing Retail and Trading Company wanted to upgrade their current ERP to support current growth strategy and prepare for future opportunities. With Perfumes, Watches, Fashion Accessories and Flowers in their portfolio, over 80 retail stores, and 2,000+ brands, the company wanted to:

  • Modernize and streamline operational and business processes.
  • Improve forecasting with better data and visibility into operations.
  • Integration with their recently implemented e-commerce platform (Magento)
  • Help become more agile and flexible to mitigate unforeseen disruptions.

The client implemented Dynamics 365 Finance and Supply Chain Management along with integration with the e-commerce platform. TSC got the client’s leadership team and the right stakeholders onboarded first for the upcoming changes to ensure right messaging to end users. TSC also involved the users from day 1 of requirement gathering, showing them the system and functionalities, so they are well familiar before they are on for UAT.

Dynamics 365 had a significant impact—improving the accuracy of inventory levels, forecasting demand, and providing greater data visibility. With the back-office functions on a single solution, the efficacy of operations increased substantially and were able to handle increased volume of transactions better. The new system provided better user experiences with improved interactions and coordination between distribution centers, stores, and online marketplaces.
