Emerging trends in document management solutions: the way forward
Paper documents are doubly problematic. They take up space and they consume time when handled. They have an added disadvantage of being difficult to store and risk increased perishability. No wonder then that the world is moving towards a paperless society and although there is a lot still to be done in this regard, corporate organizations have already traveled a lot on this road. However, as there has been an increase in the amount of data that is handled, there has also been a huge betterment in available technology. This has resulted in more secure and better efficient systems to store and retrieve documents. It is now possible to manage volumes of documents that could have a nightmare only a decade ago. All of these factors together, have contributed towards making document management system one of the fastest developing management systems in the current century. This article takes a look at some of the turns it is expected to manoeuvre in the coming decades.
Document management through the cloud – Cloud computing brings its plethora of advantages even to the field of DMS. It provides an easily accessible resource and repository for both documents and related software and it also is helpful in being cost effective. However, there are both pros and cons to using cloud computing as the base for DMS. It provides ease of access and reduced maintenance efforts but it also brings in potential security risks and does not provide total control. Having said that, cloud security is among the most researched areas in the current days and we can definitely expect to see huge improvements in this area. That would mean DMS through the cloud would only be more and more visible
Mobile device integration – everything is going mobile these days. The world of DMS is no different. With mobile devices being used more and more for business communication, there has been a huge surge in a number of documents stored, transferred and even edited them. As such, we definitely envisage a near future where DMS for mobile devices is the things to talk about.
Focus on security: security is definitely going to be the buzz word in DMS in the coming years. With the volumes of documents processed increasing by the day and the channels through which these are propagated getting increasingly varied, chances are that ensuring their security would soon become a major pain point for most organizations. We are definitely looking towards a day when a major portion of money spent in DMS research would focus on enhancing the security of documents.
Publication and DMS: Document Management Systems share a deep connection with the existing publishing standards and regulations and therefore, application developers need to take that into account once things start to diversify at a rate greater than what is seen presently. DMS systems are definitely going to be more and more customized not just according to the needs of the organizations using them but also according to the dominions in which they are being used.
Inevitably, with a lot of digital documents coming in, there is a continually increasing need for better Document Management Systems (DMS). With the amount of data being handled by organizations only set to increase, document management systems are going to be among the most valuable assets a firm can possess.
