- Sales quotation is the formal offer for products or services proposed at specific prices and related payment terms that is sent to a prospect or customer.
- To create a sales quotation go to the following path and click on New (sales and marketing -> Sales quotation -> All Quotation. Select either customer or prospect based on the account type to which you will be sending the sales quotation.
- Add the item ID in the lines section for which you wish to send the quotation to the customer and "save" the sales quotation. Now click on "send quotation". Prices are fetched by default from the trade agreement or user can edit the unit price if they wish to offer a lower or higher unit price.
- If you have configured automatic mail alert then the quotation will be automatically shared over mail to the prospect / customer or? else you can manually take a copy of the sales quotation and send it over e-mail.
- If you want to print the sales quotation then enable "print quotation" toggle in the sales quotation page and then click on "OK".
- If customer / prospect is not willing to accept the quotation and expecting a price revision, then user can change the unit price at any time if the sales quotation is in "Sent" status and then again confirm the sales quotation by clicking on "send quotation".
- By doing so multi versions for a single sales quotation can be generated and all of them will be saved in the "quotation journals".
- The Document number after hyphen shows the version number based on which user will be able to know which particular version is sent to the prospect / customer.
- User can also use the run simulation option to validate the various possible prices and Margins applicable for the prices proposed by using price simulation option in the quotation.
- After sharing the sales quotation the sales executive can do the follow up with the customer/ prospect and then get the confirmation from them for confirming the sales quotation.
- For each of the sales quotation user can update one of the following statuses "Confirm" , "Cancel" or "Lost quotation" and also tag a reason code for same.
- .Once the sales quotation is confirmed then automatically a sales order is created for the sales quotation.
- User can click the "sales orders" under General tab -> related information section to redirect to the corresponding sales order ID from the Sales quotation form.
- .User cannot convert the sales quotation to a sales order if it is a prospect and customer ID need to be created in order to generate the sales order.
- In case of sales quotations confirmed for "prospects" first users need to convert the prospect to customer and then "confirm" button will be enabled as shown in below image.
