In 2019, our company embarked on a journey to relocate and redesign our new office space. This endeavor presented us with a unique opportunity to create an environment that truly reflects our identity and work style. However, a few months into this process, the unexpected onset of the COVID-19 pandemic caught us off guard, leaving us grappling with a crucial question: What would the future of office spaces look like? Amidst this challenging period, our design team found themselves navigating uncharted waters, akin to "learning how to swim while already in the water." Yet, this introspective journey revealed an exceptional chance for us to guide others in reimagining their own workplaces to meet the evolving demands of the present.

Fast forward four years, armed with a fully realized office, valuable hindsight, and extensive market insights, we now possess the confidence to assist clients through this transformative process. We have distilled our discoveries into four fundamental principles that every business owner should contemplate when contemplating office relocation or rejuvenation. These principles serve as the foundation for crafting a thriving workplace that can both attract and retain top talent.

The Four Cornerstones

1. Interconnected

Office spaces should be meticulously designed to immerse individuals in the culture of their organization. Well-designed environments foster a sense of community, facilitating both formal and informal interactions, engagement, and mentorship.

At its core, the office should function as a hub connecting people to one another. Numerous studies have highlighted the decline in employee engagement and a sense of belonging during lockdowns, with some residual effects still lingering today. It has become more vital than ever for our designed spaces to facilitate meaningful in-person interactions, as these interactions define a company's culture. Many clients now recognize the value of the innovation and creativity that stem from unplanned encounters, emphasizing the significance of creating hospitality-inspired gathering areas.

Interestingly, we have observed that the youngest members of our workforce, recent graduates who spent their last years of education in front of computer screens, are particularly eager for mentorship and new professional relationships. Without these connections, their professional growth is stunted, and they fail to form meaningful bonds with their colleagues or the organization itself.

The idea of connection extends to how an office showcases a company's mission and values. We firmly believe that the office should serve as a showroom, putting its mission and culture on vibrant display. When clients or guests visit, they should leave feeling inspired and energized in a way that virtual interactions cannot replicate. Thoughtful design and the integration of creative environmental graphics provide an effective means to showcase the core aspects of a business, sparking meaningful conversations and engagement.

2. Well-being

Healthy environments are no longer a luxury but an expectation in the modern workforce. These spaces complement supportive policies aimed at enriching workplace environments and nurturing employees' physical and mental well-being and overall happiness.

The employee wellness movement was already gaining momentum before the pandemic, but COVID-19 intensified its importance. Extended periods of isolation during lockdowns took a toll on mental health, prompting a greater focus on wellness in the workplace. Features like dedicated wellness rooms are receiving heightened attention, with even smaller companies now seeking to incorporate amenities that were once considered an afterthought. Today, organizations are introducing massage rooms, nap pods, yoga mats, and more. Larger companies are even developing fitness spaces with wellness concierge services, while smaller and mid-sized companies actively seek such amenities in their chosen office spaces.

Creating a healthy workplace involves addressing various components, including the integration of biophilic design principles, promoting physical activity, ensuring ergonomic setups, managing acoustics, and arranging spatial adjacencies. These considerations encompass the multifaceted ways in which our surroundings affect our well-being. However, the success of these efforts hinges on aligning design with company policies on wellness and office space usage. While lounge spaces for socialization and relaxation may exist, they must be culturally embraced to convey the message that connecting in this manner is essential. We always remind our clients that they must play an active role in bringing these spaces to life once our work is complete.

3. Tech-Savvy

Workplace infrastructure has evolved to facilitate seamless participation for all employees, regardless of their physical location. Integrated technology streamlines interactions to support team dynamics and foster innovation.

One of the most significant technological shifts in recent office history has been the widespread adoption of video meetings. This shift necessitated the incorporation of more screens throughout office spaces and the establishment of intuitive, user-friendly connections. Although these technologies continue to become smaller and simpler, they remain in a state of constant evolution. As a result, the infrastructure we build must fully support these technologies and adapt to their evolving nature. Hence, it is crucial to engage technology consultants early in the planning process to ensure that the office space aligns with today's goals and lays the groundwork for future advancements.

The growing demand for conference rooms has led to the need for various audio-visual elements and reservation systems. These represent the basic technological essentials we incorporate, but we anticipate further advancements in smart building technology. For example, some companies are implementing systems that not only grant access to recognized individuals through security measures but also adjust room temperature and lighting in anticipation of use. With such technology, buildings can collect data on all spaces and respond accordingly. We eagerly embrace these developments and look forward to seeing how smart building technologies enhance the user experience for our clients.

4. Adaptive

The modern workplace is a dynamic collection of adaptable spaces designed to support learning, collaboration, and innovation. Individuals seek inviting spaces that cater to their specific work requirements for the day, whether it be energetic shared spaces or serene areas for focused work.

In this new era of work, adaptability and flexibility are paramount. Versatile solutions do not necessarily entail costly measures like movable walls. Our approach involves considering how a space can be programmed to serve multiple purposes. Companies are increasingly seeking efficiency in their office spaces to maximize their value. Therefore, the initial programming phase necessitates comprehensive data collection to understand both the spatial and functional needs of an organization, as well as opportunities for improvement. This thorough information-gathering process covers everything from staff counts and spatial adjacencies to discussions on hybrid work policies and the allocation of assigned vs. unassigned desks and spaces. These conversations enable us to find efficiencies and devise solutions tailored to meet a multitude of demands.

To this end, we believe that architectural planning and furniture selection should go hand in hand. Furniture solutions should offer creative modular elements rather than fixed built-ins, allowing spaces to be rearranged as needed to serve a variety of functions. For instance, a pre-function space could double as part of the employee break room, or the break room could transform into a cafe or reception area. Likewise, an office can be equipped to function as a private office or as a small meeting or huddle room.

A Call to Reimagine

In today's fiercely competitive market, whether companies are contemplating relocation or seeking to revitalize their existing workspace, it is imperative to reassess their needs and engage in conversations related to these four guiding principles: Interconnected, Well-being, Tech-Savvy, and Adaptive office spaces. As defined, these principles offer a framework that enables design teams and business owners to identify tailored solutions aligned with their unique goals, setting them apart from the competition.
