Copying and pasting podcasts … the process to easy hosting
A few months ago I was invited to multiple podcasts.
I think I was a guest on 5 or 6 different podcasts in the span of 3 weeks.
It was really interesting to see the different process each podcaster had.
Some just sent a link to book.
Some had me fill in a form about the episode.
Some wanted a pre-session to review the topics.
Some sent me documents with the questions in advance.
Some asked me to send them the questions I wanted to be asked.
All of them needed a headshot and bio, but only very few asked for this in advance while booking the session. And then there were endless emails going back and forth with requests and reminders.
Some sent me an email after the session with links to clips and other assets for me to share. Many did not. Which is actually a shame because then I couldn’t share the content with my network.
It was clear who had automations in place, and who was copying and pasting.
This is not a reflection at all on the quality of the episode or the podcasters themselves.
What is most interesting is that most of the podcasters had at least some part of the system that required human interaction and copying and pasting.
For a small podcaster this can be fine. But if you’re planning on growing your podcast, then you really should build systems that support the admin work and leave you time to prep for your guests.

Start by defining your process.?
What is the journey you want your guests to go through??
What do you need from them??
When do you need it??
What will you share with them (before and after the episode)??
How are you handling post production??
Who is doing the editing??
Where will the raw and edited files sit??
Where are you hosting the episode?
How are you uploading the files??
Which social media platforms do you plan on updating?
If you hire a podcast production agency, they will probably take care of most of these questions for you (though maybe not everything will be automated).
But if you’re managing this yourself, I would suggest creating a repository for your data. You can have forms and links populate automagically!
