Common mistakes while organizing online event
Today we are all getting used to being online. Pandemic strengthened the process of digitizing in all industries, and event organizing is not an exception. In 2020 at BGS we searched for a solution for our clients to be connected and gathered safely and remotely. And the solution was moving events to an online format. While we were creating BGS online platform we have analyzed plenty of mistakes which could have been made organizing digital events.

People’s behaviour is different being online and offline. Some organizers mistakenly believe that as soon as participants are on the platform, they start active networking with lots of chats and calls themselves. Practice shows that reality is different from our expectations.?
To make an online event as much and even more effective than an offline organizer should assist participants during the whole event. For instance, on BGS online events we still provide delegates with personal managers as we do offline, who support our participants during the whole event, arrange meetings and help delegates to stay involved.
2. Lack of networking tools.
In the first point we have set that networking is essential and the task of organizers is to support it. Assistment plays its role. What is more important is to create networking tools that encourage participants to be involved and communicate themselves to get the most out of an event.?

As part of BGS online event, we make it possible for our delegates to exchange digital business cards that remain with the participants after the congress, which allows to increase both communications and efficiency of the event. Moreover, we provide our delegates with lots of engagements like Networking leaderboard, prizes for activity on sessions and many others to create a networking game which encourages our participants to be involved.
3. Creating an organizer-oriented platform.
While constructing an online platform it’s essential to remember that the end user is a participant, not organizer. It is always tempting for organizers to create a platform which is useful and convenient for arranging an event. However, if the platform is incomprehensible or inconvenient for delegates, they just won’t use it. While creating an online platform, it is important to heed it is intuitive and easy to use for delegates and of course, don’t forget about eye pleasing.?
4.?Do not acquaint participants with the platform.
In order for the participants to start active communication from the beginning of the event, they should be familiar with the platform. In BGS we make set up calls with participants before an online congress to give participants an opportunity to see the platform and understand how it works. We also provide our delegates with videos about BGS platform features to make it comfortable for the participants to network from the first minute of the congress.?
