Collaborate Like a Pro: Using Whiteboard in Microsoft Teams Meetings

Collaborating with team members during a Microsoft Teams meeting can be made even more effective with the use of Whiteboard.

This fantastic tool allows for real-time collaboration, making it easier to share ideas and work together towards a common goal. With Whiteboard, you can brainstorm, draw diagrams, and write notes, all while seeing the changes your team members are making. This can help to increase engagement and productivity in your meetings, as well as improve communication and understanding among team members. Here is a step-by-step guide on how to use Whiteboard in your next Teams meeting.

How to access and use Whiteboard in a Teams meeting.

To access Whiteboard during a Teams meeting, select the Share button in the meeting controls.

Once you have opened Whiteboard, you can use the toolbar to draw, write, and add shapes and text. You can also use the collaboration tools to invite others to join the Whiteboard and work together in real time. When you're finished, you can save the Whiteboard as an image or a PDF for future reference.

Whiteboard Templates

There are many available templates that you can use by selecting Create and then Templates.

The Templates menu enables you to select prebuilt templates or create and save your own by creating content on the whiteboard and then navigating to My templates and selecting Create new template. Any created templates will be selectable in the My templates menu and can be placed anywhere on the whiteboard and moved around until you lock it in place by selecting the ellipsis and then Lock to make it a fixed part of your whiteboard.

If you want to move your templates around later you can unlock all templates by right-clicking anywhere on the whiteboard and then lock them all again when you’re happy with the layout.

Collaboration with external participants in a Teams meeting

As long your administrator has enabled the invitation of external participants to your Teams meetings, Microsoft Whiteboard can be shared with all participants. For more information on how to set this up go to the Manage sharing for Microsoft Whiteboard page.

It is also worth noting that while external participants can interact fully with Whiteboard during the meeting, they will not have access to the Whiteboard after the meeting.

Continue working on a whiteboard after a meeting

After you have completed your meeting, the whiteboard will still be available in the meeting chat in its own tab. Simply go to the tab and continue working on your collaborative masterpiece.
