Is the CMMS Really Too Hard to Use?

Status Quo

Fewer than 5% of all companies establish an asset management framework that truly integrates maintenance, operations, and decision-making to optimize return on average asset [per Deloitte]. Weak asset management practices cause unplanned downtime and higher O&M costs.

The CMMS implementation highway is littered with underperforming, underutilized systems lacking an endgame. If there is no business model linking what the M&R community wants to accomplish and what the CMMS product should be doing to support that goal, then the system will be under-utilized. It is up to leadership to design and configure technology to optimize ROA – provided they know.

Is the CMMS Too Hard to Use?

I seriously doubt this. The first step is to define “too hard to use.” Is it the software that is too hard or something else? Note: software installation is not a "user problem".

Other False Beliefs

>> Maybe management (mistakenly) thought that installing a CMMS would help them reduce breakdowns and increase uptime post-go-live.

>> Maybe the core team (and CMMS admin) believed that they needed to use every application in the CMMS to pursue industry best practices.

Goals and Objectives

It is not a matter of under-utilizing a CMMS as it is a failure to link features and functions to objectives, e.g., industry best practices. If asset reliability, productivity, and worker safety are goals, then what are the processes and roles needed to support those objectives?

Should we Drain the Swamp?

I believe every CMMS is user-friendly and easy to navigate.?This is not a “which CMMS is the best" conversation. However,?some leadership teams manage to screw up the supporting process and roles.?The only scenario I can think of where the software would be at fault is if the CMMS is full of bugs. But, if the decision-makers need the CMMS to help them with failure analysis, then meaningful failure data is needed. And, if data accuracy is impacting accurate reporting, then a data quality plan is needed.

The onus is on leadership to create a plan for success, and then follow it.

About training having used many never found them hard.but getting engineers to fill in meaningful data is the hard part.great tool 8f used correctly well managed and regular audits and upgrades.

John, Thank you again for your commitment in bringing practical topics and discussions. At times when thinking about a CMMS functionality and use I think of a graphing calculator I used in collage. The IT89 had so many features beyond what I needed to know or use. However, the challenge was to understand where I can use it for the classes and topics I was taking at that time. With that in mind, not everyone should be a power user for the CMMS used in their company, but they should learn to navigate and utilize it for the role and function. At the end of the day, its all about training implementing best practice in the implementation (e.g: ISO 14224, naming conventions, standardization in the process, ...).

At what piont do people get AI to regulate and manage CMMS ?

A CMMS should be easy to use and intuitive. A few years ago, when I was trialing multiple CMMS programs for our operation, this was a key player in deciding whether we would become a customer or not. I found a few programs that had all the power I wanted, but I about had to be a computer programmer myself in order to make them work. I’m in maintenance. Not software development. In the end, the CMMS we went with was so intuitive, that it made training and buy in from my techs almost too easy. We were able to focus our time on getting projects completed.
