The ChatGPT Ban: Why Not Using ChatGPT Will Hurt Your Business

During the last years, AI has been evolving at a steady pace, and many people have been following the development with curiosity and excitement.?

However, it has only been with the groundbreaking innovation of ChatGPT that this technology has seen, not only a massive leap within the AI field, but also, a change of mentality in the general public, who believed AI was “just a buzzword”, years away from delivering any tangible value to businesses, individuals and society overall.

Developed by OpenAI, ChatGPT is a versatile AI large language model (LLM), able to assist its users in tasks such as generating content, brainstorming and offering insights on different subjects. It’s become the fastest growing product of all time as they reached 100 million users within just two months. As with any major innovation, its rapid expansion has been faced by the public with both excitement and concern.?

Certain companies, motivated by fears of job displacement, data privacy issues, and security risks, have gone as far as banning their employees from using ChatGPT.

In this post, you will learn about:?

  1. the reasons behind the bans,
  2. why that approach can have significant negative consequences, as well as
  3. how to address the risks and concerns without an outright ban.?

The aim behind this article is to encourage companies to reconsider their stand on this powerful AI tool, in order to unlock opportunities for new growth and innovation within their organization.

Debunking Common Misconceptions

There are two main reasons behind the ChatGPT ban: the fear for AI to replace human labor, and sensitive data exposure.

The first one, expects AI to leave employees jobless. However, rather than displacing jobs, the true capabilities of current generations of AI are those of a human amplifier. Instead of focusing on displacing jobs, companies will grow by maximizing human-machine collaboration. This will allow employees to dedicate their time to tasks that require creativity, empathy, and critical thinking; and set the machines to execute mundane tasks that humans are either not interested in doing, or would never be able to do due to the scale of the task.?

Instead of focusing on displacing jobs, companies will grow by maximizing human-machine collaboration.

Another common misconception is the risk of information being exposed (or misused) by ChatGPT. While it is essential to be cautious with any technology handling sensitive data, it is key to address security risks by implementing policies to help employees navigate them. Below you can find some of these best practices so you can address them at your workplace.?

Looking the other way won’t make the problem disappear

Banning ChatGPT seems to be a decision made out of panic, rather than business logic. When talking about the value of a new technology that has already been proven, it is key to manage the risks to mitigate any potential consequences rather than ignoring the opportunity. Choosing to ignore new technology can be very harmful for organizations for several reasons:

  • Losing competitive advantage: any company that is either less efficient, less innovative than competitors -or in this case, both-, will be out of market fast. Missing out on the benefits of ChatGPT means giving up speed, scale, flexibility, personalization and decision-making improvements never seen before in any previous industrial revolution. Companies that fail to jump into intelligence automation will quickly be overtaken by their faster, more innovative competitors. An example of how this AI technology has revolutionized the medical field is by summarizing medical literature, assisting doctors to help identify potential treatment options, and streamline the drug discovery process. Pharma companies that do not use AI will most likely be out of business in the near future. In the legal industry, ChatGPT has been used to analyze and summarize lengthy legal documents, saving lawyers and paralegals valuable time. This is and will be groundbreaking for any service industry.
  • Employee morale: forbidding employees to access one of the biggest efficiency game-changers in the world can be perceived as patronizing. This is taxing on morale due to the frustration of feeling their time and effort are not being optimized, that they are disconnected from the latest industry trends and they are less encouraged to explore new ideas and pursue innovative solutions. Worst yet, the perceived lack of trust will cause the tool risks to still be present (see following point). Instead, companies should focus on empowering employees, by informing and training them on the risks and best practices to use the tool.
  • Risks are not addressed, just hidden: due to human nature, organizations will be exposed anyway without a risk management plan. Some employees will be using the tool, they will just do it in secret. From their phones if they need to. And when the risk eventually materializes, the company will have no plan to face it because it does not have visibility until it is too late.
  • Brand damaging: Knowing the efficiency gains that ChatGPT allows, it is concerning to see a company not taking advantage of this opportunity. It’s known that one of the biggest global financial institutions and one of the Big Four companies, have, as of the writing of this post, banned the use of the tool - hindering innovation and missing a better price offering for their work. This will likely affect how partners and customers perceive these brands, and might reconsider switching to more competitive and innovative players in the market.

Best Practices For A Successful ChatGPT Implementation

To maximize the benefits of ChatGPT while mitigating potential risks, companies should follow some essential best practices to ensure a successful implementation:?

  1. Educate employees on AI: change turns to fear when there is a lack of knowledge. Companies should provide employees with knowledge of what AI is, its capabilities and limitations, and most importantly, address any natural concerns inherent to AI -including the misconceptions such as AI resulting in job loss-. By keeping an open dialogue, your organization will have visibility of concerns and will be able to both support employees and develop better human-machine collaboration.
  2. Define clear guidelines and policies: Develop a comprehensive set of guidelines and policies that outline the appropriate use of ChatGPT within your organization addressing data privacy and security risks. It is essential to train employees to understand what type of information is considered either sensitive or personal, and increase awareness of the risks and consequences of sharing those with the AI tool. By learning what is possible, not possible, and what should be avoided, employees will be able to successfully navigate the risks associated with the misuse of the technology.?
  3. Foster a culture of responsibility and AI ethics: Encourage and train employees to be mindful of the ethical implications of AI and its potential biases. This will help create a supportive environment where employees feel comfortable using the tool while also remaining accountable for their actions.
  4. Define ownership: as with any project, tool or process, it is key for companies to define clear ownership of the technology to enhance performance, support employees, and act as advocates. It will not only boost adoption, but also secure maintenance and evolution once it is widely spread.?

Survival Of The Fittest

ChatGPT has emerged as a powerful AI tool with the potential to transform the way we work across various industries by enhancing productivity, fostering innovation, and improving collaboration.

It is essential for organizations to recognize, not only the opportunities ChatGPT presents for their workforce and overall business success, but also that not adopting it soon enough is a threat for their businesses to withstand the test of time. By implementing key best practices, companies can unlock the full potential of the technology while minimizing risks.

Technological progress will not stop outside of the scope of companies who ban ChatGPT.?
