Chatbots are creating an active interaction with users.?From this point of view, chatbots will change our daily business routines. There are lots of business apps, but those apps are just tools, not active supporters of employees. I mean that apps are function-based agents. On the other hand,?chatbots are workflow-based agents.

Workflow Based Agents

Think about a production process. An engineer wants to reach the right information on time. Hence, for that engineer, the most important thing is the location-based workflow. If a Chatbot gives required information during the process with two-way interaction, using Chatbot won’t be a choice, it will be a vital part of the workflow. Because of that, Chatbot can collect real-time data about the process, productivity, and resource management.

A chatbot can Collect Real-Time Data

A chatbot assistant not only supports the employee but also collects data about the workflow. For example, chatbots can organize meetings and notify participants about them and distribute related documents. Furthermore, Chatbot can ask some basic questions about the meeting and create a meeting real-time feedback mechanism. Yes, you can do it with a survey after the meeting but as you know nobody likes surveys. So, a friendly chatbot can be successful at collecting data without disturbance. The meeting is the easiest workflow you can think of. In business life using Chatbots, you can digitize all your processes.

Repetitive Tasks

Mckinsey's research suggests that as many as 45 percent of the activities individuals are paid to perform can be automated by adapting currently demonstrated technologies.

A chatbot is a smart solution for repetitive tasks.?For example, a technician is searching for a datasheet of the equipment. But a chatbot can easily give related data to the technician. You can say that the technician could search for it, and it wasn’t a problem. But that kind of simple repetitive task is the main cause of big mistakes and lost time. A Chatbot doesn’t make an employee smarter, but it can reduce the risk of mistakes and increase productivity with basic steps.

A Salesman with a ChatBot Assistant

The routine of salesmen consists of customer visits, CRM data entry, navigation, sales presentations and follow—up actions. All those steps are managed by CRM tools and notes of the salesman. But the chatbot assistants can optimize this process.

You can ask how a Chatbot can optimize the sales process. The answer is Chatbot can send the required information in the right place and time. Furthermore, chatbots can ask questions to collect data to create reports. Hence salesmen don’t spend time on coordination and reporting activities.

Think of an engineer on a construction site. He regularly controls activities on the site and prepares progress reports for the technical office. A chatbot assistant can make the life of the engineer easier.

Data can answer an important part of your daily questions.?Those questions can be technical or functional, but you ask the same questions again and again. From this point of view, data can answer questions.

As humans, we have the tendency to ask questions to learn about something. For example, you are an engineer, and you need technical data. Do you ask the data to chief engineer, or do you search for the answer? Generally, people choose to ask someone. From this point of view, Chatbot can be a proper solution for your team.

Same Problems Same Answers

Employees ask the same questions to the HR department and, they are looking for similar answers. A chatbot can be an asset for the HR department. HR is just an example; we have different cases which have repetitive processes.

Chatbot persona

Each chatbot should have a specific persona. It seems unimportant to you, but persona makes a Chatbot more effective than other tools. To do that you should work on which personality best fits the chatbot assistant and your company culture.

How can we start a chatbot project?

You should start with basic workflows and then step by step you can create innovative chatbot assistants for your company. AI-based chatbots can create significant productivity and quality increases.
