Ali had always been an ambitious and hardworking individual. After several years of dedication, he was recently promoted to production manager at a well-known pharmaceutical company. His promotion was a milestone in his career, a recognition of his skills, perseverance, and potential. However, shortly after assuming his new role, Ali realized that the responsibilities of a production manager were far more complex and demanding than he had anticipated.
As the production manager, Ali was responsible for overseeing daily production activities, coordinating with different departments, managing inventory, ensuring that quality control standards were met, and troubleshooting unexpected issues on the factory floor. On top of that, he had to deal with suppliers, respond to urgent emails, and attend frequent meetings with senior management. The sheer number of tasks coming his way left him feeling overwhelmed.
Every morning, Ali would begin his day with good intentions. He’d write down a list of tasks he needed to complete, but as soon as he stepped into the office, everything seemed to spiral out of control. Urgent phone calls would disrupt his focus, emails would flood his inbox, and team members would come to him with problems that required immediate attention. His day became a blur of activity, jumping from one task to another, often leaving things half-done as new issues demanded his attention.
By the end of the day, Ali would look at his to-do list and realize that, despite being busy the entire day, he hadn’t accomplished much. Tasks remained unfinished, deadlines were looming, and his stress levels were rising. Frustration began to set in. He wasn’t just disappointed in his lack of productivity but also concerned that he was failing in his new role.
Determined to find a solution, Ali decided to seek help. He had heard about executive coaching and thought it might provide the insights he needed to manage his workload more effectively. After some hesitation, he signed up for a series of coaching sessions, hoping to find a way out of the chaos he found himself in.
In his first few coaching sessions, Ali explained his daily struggles to his coach. He described how his tasks felt scattered, and despite his best efforts to tackle them, nothing seemed to get done. He was working hard but not seeing results.
The coach listened carefully and began asking probing questions to better understand Ali’s work habits. Through these discussions, it became clear that Ali was approaching his workload without any real structure. He was attempting to handle everything as it came up, addressing tasks in a somewhat random order, often letting the most urgent issues dictate his day. This lack of organization was preventing him from making meaningful progress.
The coach helped Ali realize that he was frequently shifting between different types of tasks—answering emails, addressing production issues, managing inventory, and attending meetings—all within short time frames. This constant task-switching was not only inefficient but also mentally exhausting. Each time he switched gears, his brain had to readjust, resulting in lost time and reduced focus.
Ali’s coach introduced him to the concept of time chunking, a time management technique that involves grouping similar tasks together and dedicating specific time blocks to complete them. The idea was simple: instead of jumping from task to task throughout the day, Ali would organize his work into blocks of focused time. For example, he would allocate one block of time for handling emails, another block for addressing production issues, and a separate block for meetings.

By grouping similar tasks together, Ali would be able to concentrate on one type of activity at a time, minimizing distractions and avoiding the mental strain of constantly switching between tasks. Time chunking would give him the structure he needed to stay focused and make steady progress throughout the day.
The coach also emphasized the importance of prioritizing tasks within each time chunk. Not everything on Ali’s to-do list needed immediate attention, and part of his success would come from identifying which tasks were truly urgent and which could wait. This level of clarity would allow Ali to make better decisions about where to focus his energy.
With this new strategy in mind, Ali decided to implement time chunking the following week. He began by blocking out his day into specific chunks: two hours in the morning for production-related tasks, an hour before lunch for responding to emails, and an afternoon block for meetings and team communication. He also set aside time at the end of the day to review progress and plan for the next day.
The impact was almost immediate. By focusing on one type of task at a time, Ali found that he was able to complete work more efficiently. During his production block, he was fully immersed in managing the factory floor, identifying bottlenecks, and resolving issues without the distraction of incoming emails or other unrelated tasks. When it was time to handle emails, he addressed them all in one go, clearing his inbox in half the time it usually took him.
Within just a few days, Ali noticed a significant improvement in his productivity. Tasks that had previously taken hours to complete were now being handled in shorter, focused time blocks. He was no longer rushing from one issue to the next; instead, he was working methodically and with purpose. His stress levels decreased as he regained control over his schedule.
Ali’s experience with time chunking transformed his approach to work. He realized that the key to productivity wasn’t about doing more tasks in less time; it was about working smarter by organizing his day and maintaining focus. The executive coaching sessions had given him the tools and perspective he needed to succeed in his role as a production manager.
Over the following months, Ali continued to refine his time chunking strategy, adjusting his schedule as needed to accommodate new challenges. His newfound efficiency not only improved his own performance but also had a positive impact on his team. He became a more effective leader, providing clearer direction and support.
Ali’s journey from frustration to focus was a testament to the power of strategic time management and the value of seeking help when needed. Time chunking had helped him break free from the cycle of chaos, allowing him to excel in his role and achieve the results he had been striving for.
