Challenges in the Digital Transformation of Laboratories

Digital transformation is a process that aims to improve an organization by implementing and practicing significant changes to its processes through combinations of information, computing, communication, and connecting technologies. Digital transformation only happens when the management recognizes the strategic importance of making profound organizational changes to the company that is customer-driven rather than technology-driven.

Digital transformation has proved to be a hard nut to crack in recent times. It’s become the downfall for many who have gone about it poorly, as evident in McKinsey’s research, which estimates that 7 in 10 digital transformation projects end up unsuccessful. The odds are seemingly stacked against laboratories. However, the remedy is to properly design a road map for the hurdles that lie ahead and tap into the right technological solutions.?

This article summarises some of the biggest digital transformation challenges laboratories encounter and ways to overcome them

1) Lack of clearly defined process flows

It is very critical that the laboratory processes are clearly understood and documented by the stakeholders to have a better insight into the tasks, subtasks, and dependencies. With better insights, it is easy to optimize your current practices.

Once there is a central data repository, such as ELN or LIMS, we may proceed to consider the integration of laboratory devices into one seamlessly connected network. This can be done by using APIs or middleware solutions that handle the communication between devices and the central data repository. This level of digitalization has three direct effects:

  • Prevents errors during the manual data transfer
  • Reduces time required for manual data transfer and verifications of data transfers
  • Helps? maintain data integrity

A reliable electronic lab notebook or laboratory information management system is a great option, to begin with. This can help improve data quality as well as elevate throughput by taking over iterative data management tasks through automation.?

Some laboratories may consider connecting their central laboratory software with other third-party software, such as Enterprise Resource Planning systems (ERPs), production systems, or data analytics software. It is highly recommended to anticipate and provision for at least some of the integrations so that the right laboratory information management system can be selected, which can support third-party integrations in the first place.

3) Adopting Regulatory Compliance and Privacy

Access control functionality in any software ensures access to the data only to authorized people and prevents unauthorized people from accessing the information. User authorization is carried out through the user management features that are available in all enterprise-level systems. Different roles can be created and assigned permissions to different authorized users. For example, most users can only generate new data, some users can review data, and only a selected few can modify them and approve them. This, combined with encryption, ensures the technical safety of data.?

2. Audit Trail

Another critical requirement is to maintain data integrity and that can be implemented by audit trail functionality. An audit trail means that there is a log of all data changes and other activity, either due to user actions or automated workflows. The audit trail mechanism stores the old and the new version of the data. This allows full traceability of the changes from the original version of the data with all the relevant information about the changes being recorded and viewed easily as and when required.

6) Financial Resources

When digital transformation for a laboratory is planned, it is absolutely essential to consider the financial impact on the organization as a whole. If we wish to make a fully informed decision, it is critical to understand the short and long-term digitalization benefits.

Return on investment (ROI) is a commonly used metric, where all the benefits can be considered against the costs including initial investment, running expenses, and other overheads in terms of material, time, and labour.

7) Organization’s Culture and ability to adapt to change

A very important consideration of digital transformation is organizational cultural change. But adapting to a new culture does not mean that we need to completely change what has already been developed and practiced, but rather implement the current values to new digital concepts.

Although there may be a great vision and values for the organization's culture, this does not ensure that the adoption of new ways of working will be smooth to implement. On the contrary, it is anticipated to experience resistance to the changes that are inducted in the system of working from sections of employees (few to large numbers). While this resistance is completely natural and normal, the way it can be addressed is by answering people’s concerns, and issues faced by them and involving them in the process through motivation and training. This way we can achieve successful and smooth adoption of changes which will result in better productivity and values for the organization.

It is essential to understand and map the laboratory processes and data flows to ensure a more successful digital transformation.

If implemented successfully, the investment in digital transformation will not only benefit in the short run but also there are long-term ones resulting in savings in terms of labour, money, and time.

It will also ensure compliance with regulatory requirements strictly adheres.

Developing and adapting a new culture will not only benefit the employees but the image and brand of the company as a whole.?

Just 30% of digital transformation projects are a success. The statistics certainly make for grim reading. However, by ironing out internal resistance, sorting out data management challenges, and prioritizing technology with the right set of features, laboratories should easily be able to pull off a win in their digital transformation journey.
