This case study illustrates how we managed to oversee 500+ stakeholders across 3,000 companies and ~1,100 projects. Identifying stakeholders was a challenging but critical first step, ensuring we understood their roles, interests, and influence. This laid the foundation for tailored communication strategies that addressed each group's unique needs while maintaining consistency.
We kept stakeholders informed and engaged through clear communication, streamlined updates, and structured reporting. Managing a diverse group with competing priorities requires careful planning and crafting messages that resonate with different audiences. By focusing on efficient communication and building strong relationships, we reduced misunderstandings, kept projects on track, and achieved significant cost savings and efficiencies.
Background
A global marketing and communications company overseeing?3,000+ subsidiaries?was overspending on IT, paying?nearly three times as much per employee?(based on annual 10-K financial reporting) as its two largest competitors. The lack of centralized contracts prevented the company from leveraging its purchasing power, leading to fragmented IT procurement, inconsistent pricing, and inefficient resource allocation. Without standardized agreements, departments operated in silos, driving up costs and creating operational inefficiencies.
We were tasked with reducing the?annual $468M IT budget?by?30%. This required a?strategic overhaul?of?vendor contracts,?procurement processes, and?IT asset management?to drive?sustainable cost savings?without sacrificing?performance.
