Can’t I Just Do It in Excel?

Can’t I Just Do It in Excel?

For many businesses, Excel is the go-to tool for managing operations. It’s familiar, flexible, and doesn’t cost a thing beyond your time. But as your business grows, the cracks in those spreadsheets often start to show. So, can you keep doing it all in Excel? Or is it time to upgrade to an operations or inventory management system?

?

Why Do People Stick with Excel?

Excel feels safe. You know it, your team knows it, and it doesn’t require a hefty upfront investment. It’s easy to customize for your business’s unique needs, and at first glance, it seems to handle everything - inventory tracking, order management, and even financial reporting.

But the same flexibility that makes Excel appealing can also be its downfall. As your operations get more complex, the risk of errors, inefficiencies, and delays grow. What worked when you were handling 10 orders a week can become a nightmare when you’re processing 100.

The Red Flags That Excel Is Holding You Back

If you’ve ever faced one of these challenges, it’s a sign you may have outgrown Excel:

  • Inventory Discrepancies: Your spreadsheet says you have stock, but when you go to fulfil an order, the shelf is empty.
  • Lack of Real-Time Visibility: Your team wastes time cross-checking multiple spreadsheets instead of accessing live data.
  • Manual Errors: A single typo can cascade into lost sales, delayed shipments, or overstocking.
  • Scalability Issues: Managing one warehouse or sales channel may be fine in Excel; juggling multiple locations or platforms is not.

Excel is great for a while, but its limitations become clear when you need to scale.

How the Right System Can Transform Your Operations

Modern operations management systems (OMS) and inventory management systems (IMS) are built to handle what Excel can’t. Here’s how they make life easier:

  • Real-Time Updates: With an OMS, you always know your stock levels, even across multiple warehouses.
  • Automation: Say goodbye to manual data entry. Automate reordering, invoicing, and reporting, saving your team hours every week.
  • Integration: OMSs connect to accounting software, shipping platforms, and sales channels, giving you a unified view of your business.
  • Fewer Errors: Automated processes reduce the risk of mistakes, improving customer satisfaction.

The result? You free up time to focus on strategy and growth instead of firefighting daily issues.

Common Misconceptions About Making the Switch

It’s natural to have concerns about moving away from Excel, but let’s address the big ones:

  • “It’s too expensive.” While OMSs have an upfront cost, the savings in time, reduced errors, and improved efficiency often pay for themselves.
  • “It’s overkill for my business.” Many OMSs are scalable, designed to grow with you. Start small and expand as needed.
  • “The transition will disrupt everything.” Modern tools are designed for easy onboarding, and many vendors offer hands-on support to make the switch seamless.

When Is Excel Enough?

Excel isn’t all bad. For small operations with low order volumes and minimal complexity, it can work perfectly fine. But don’t wait for problems to pile up before exploring better options. If errors, delays, or inefficiencies are hurting your bottom line, it’s probably time to make a change.

The Bottom Line

Excel has its place, but as your business scales, so do your needs. Investing in an operations or inventory management system can reduce errors, save time, and prepare your business for growth. The question isn’t whether you can keep doing it in Excel - it’s whether you can afford not to upgrade.

Are you ready to make the leap?

Good article indeed. In my experience all the custom systems as well as ERPs are like bricks and spreadsheets like mortar. They both together create a robust structure. The problems emanate from lack of sense of proportion.
