In a world that often glorifies "hustle culture" and nonstop work, it's easy to feel pressured to blur the boundaries between work and personal life. But I've found that true productivity — and true satisfaction — comes not from sacrificing personal time for work but from thoughtfully integrating work into life.
That means designing my days around things that matter most to me, like sharing meals with my family, reading bedtime stories to my kids, and keeping space for rest and reflection.
So when a client recently asked for an advanced ClickUp setup with a tight timeline even with premium payment for extra hours, I clarified upfront that, while I’d give the project my all, I wouldn’t be compromising on my personal commitments.
Yes, the project was complex and would take careful planning and dedication. But it would be woven around family time, meals, my daily routines, and the natural rhythms of my energy levels.
The Framework of My Day
I start my mornings with intention, easing into the day. My kids get ready for kindergarten, and I make sure the house is humming: laundry, dishes, and anything else that can be automated runs while I begin work.
I work a few hours before lunch, saving my most complex tasks for my peak energy in the afternoon. Lunch with my grandmother and father is a non-negotiable part of my day, giving me a break and a chance to recharge. This two-hour lunch break keeps me grounded, healthy, and connected.
In the late afternoon, I pick my kids up from kindergarten. From then on, my focus is on them, playing, learning, laughing, eating dinner together, and following our bedtime routine. We explore, eat, and unwind together.
As for my evenings, I wind down with books and conferences, which allow me to learn, recharge, and prep my mind for the next day. During this time, when needed I focus on lighter work or wrap up easier tasks from the day, final checks, reviews, and small tasks, never anything that demands intense focus.
I set this schedule upfront, so I don’t sacrifice quality time or self-care — and I ensure my focus remains intact when it’s time to tackle the more complex demands of the project.
This routine keeps me energized and focused, ready to dive deep into the work when I’m “on” and fully present for my family when I’m “off.”

Building the ClickUp Solution: A Step-by-Step Breakdown
This ClickUp project was one of the more complex workflows I've taken on, with numerous tasks, integrations, and automations to support a streamlined and tailored project management system.
As I mentioned recently, a client requested that I build an intricate workflow system in ClickUp to manage various aspects of their business, with an aggressive timeline. They were paying a premium for accelerated hours, expecting speed. However, just as with any ambitious project, balancing work with life is crucial, especially when crafting a system that requires intense focus, creativity, and attention to detail.
Structuring My Day: A Healthy Work-Life Balance
Each day was a blend of focus and flexibility, punctuated by responsibilities that make my life unique.
My mornings are slower-paced — I don’t leap out of bed ready to tackle the world. Instead, I ease into the day, spending about half an hour setting up the machines and getting my household organized. After all, when work requires you to be at your best, giving yourself time to wake up and prepare is essential. Between 9 a.m. and 11 a.m., I reserved time for simpler tasks that would get the ball rolling for the day.
I also make a point to prioritize family. I made it clear from the start that family time, like meals with my grandmother and father, picking up my kids from kindergarten, and our evening bedtime routine, were non-negotiable. Structuring my day allowed me to stay fully present with family while meeting the project’s demands.

The Project: Building a ClickUp System from Scratch
Designing this ClickUp workflow was no small feat. The project required a blend of ClickUp and Make automations, data integrations, and custom views to meet the client's unique needs. The client’s requirements were extensive, ranging from customized project boards to voice memo conversions, automated reminders, data reports, and CRM customizations. To get it done within the week, I broke down the work into manageable phases, scheduled around my most productive times.
Work-Life Integration and Building a Robust ClickUp Workflow in 5 Days
On the first day, I laid the groundwork for the project, focusing on understanding the client’s needs and setting up the basic architecture.
- Client Consultation: Discussed specific project goals and tailored the system architecture to their workflow
- Workflow Planning: Defined the folder and task structures, mapped out essential workflows, and documented requirements
- Dashboard Views Setup: Built foundational dashboard views to monitor overall project progress, set up task progress indicators, and visualized tasks that were on or off track
With the foundational structure in place, I shifted focus to enhancing dashboards and building notification systems for deadlines.
- Custom Dashboards for Team Roles: Created role-specific views for different team members, highlighting tasks relevant to each role
- Notification System for Deadlines: Configured notifications to alert team members when tasks or project stages were approaching deadlines
- Automating Sub-Task Date Push: Set up an automation to adjust sub-task due dates based on parent task deadlines, keeping the workflow aligned
Next, I focused on integrating third-party tools to streamline the client’s communication and document organization.
- Slack Integration: Automated Slack channel creation for each new project and configured alerts to keep team members updated
- Google Drive Integration: Set up Google Drive folders to automatically organize project files by milestone and ensure easy access.
- Otter Connection: Linked Otter to ClickUp, enabling seamless conversion of meeting notes into tasks and action items
- Testing Integrations: Ran preliminary tests to ensure each integration functioned smoothly and was correctly automated
The next day was dedicated to building out CRM functionality and automations that would support client relationship management and task tracking.
- Customizing the CRM: Built out CRM features with pipelines, client stages, and automated follow-up prompts
- Automating Onboarding Tasks: Created an onboarding workflow with automated task lists for new clients, streamlining the initial setup phase
- Setting Up Project Templates: Developed project templates for various service types, tagging each to pre-fill specific tasks and data
On the final day of setup, I configured advanced automations, reporting forms, and tested every feature before the client walkthrough.
- Voice Memo to Blog Post Automation: Set up a workflow that transformed voice memos into blog drafts using GPT integration and flagged them for review within ClickUp
- Weekly Performance Reporting Forms: Built forms for media buyers to submit weekly performance reports, and connected Make to pull data from Facebook Ads
- Final Testing: Conducted end-to-end testing on all workflows, automations, and integrations to verify functionality and ensure error-free operation
After completing the setup, I spent Monday morning reviewing everything with the client and training them on the system.
- System Walkthrough: Demonstrated each dashboard view, automation, and integration, explaining how each feature supported their workflow
- Client Training: Guided the client through the process of using templates, managing the CRM, and adjusting dashboards as needed
- Q&A Session: Answered questions and provided additional insights on optimizing the system for their unique processes
This project was an example of efficient, focused work that respected both the client’s needs and my own family commitments. By structuring my day around peak productivity hours and safeguarding time with my family, I delivered a comprehensive ClickUp solution on time. The key was balancing high-value, focused work periods with life’s essential, grounding moments — meals with family, bedtime stories, and intentional relaxation in the evenings.
