Business writing - Decoded

It doesn’t matter what your job designation is, you need to have a basic understanding writing, be it an article, a blog, email, presentation or even a report (P.S: Writing is essential for your way up the corporate ladder). The most crucial part is you have to make the reader feel what you really think. The writing should be very convincing enough as you are trying to sell something over an email and not in person. Let us see some basics which shouldn’t be overlooked while writing. 

Basics of writing 

What is writing? Writing can be viewed as 3 steps - pre-writing, writing, and editing. During the pre-writing process, you would be collecting ideas on how to begin, what to include and not include and et all. Once you sink into the writing process, you might be finding it difficult to get the first draft ready. You might have missed some point, or something wouldn’t be adding up. What would you do then? Repeat step 1 - the pre-writing step and do some research to proceed further. 

There is no specific flow chart for perfect writing. You would have to improvise, improvise and improvise from the older content. Once you get the first draft ready, you have to proceed to the editing step. This step is where you check if you have included all the key points, pre-planned objectives and if the writing is interesting enough to keep the reader hooked up. 

Research 

How do you think you will get ideas? It does not pop out from anywhere. You have to invest in research to reap the end product. There is not a single writer who doesn’t read. Make notes while you read for future purposes. The ideas you get at that particular time might not be useful then but provide very beneficial over time. 

Outline 

Once you have all the materials to start your writing, you need an overview to know how the writing flow should be carried on. The framework has to ensure that the writing has highways, mountains, lakes and et all. Because without an outline, the content won’t have the flow, and it is next to impossible to keep the reader hooked on the writing. 

Environment 

Environmental aspects impact the writer’s thinking aspect. It varies according to every individual. One might love to write from an office ambiance while the other cannot think creatively inside the office, one might prefer a coffee shop while the other prefers a silent ambiance. If you are in an ambiance that disturbs you, it is impossible to think creatively. Find out what suits you individually and always prefer that particular surrounding to sit and work. 

First draft 

Here comes the essential part of writing, the first draft. It takes soo much pain to put together a first draft which includes all the vital ingredients. It would be best if you had some patience to get the first draft ready. All further revisions are just improvisation from the first draft. So make sure you are putting an all-out effort to get it done. 

Introduction 

How you begin the script plays a significant role in keeping the reader hooked. The famous saying “ Well begun is half done” implies that too. So you have to be focused while drafting the introduction part. It should be an essence of what you will be covering in the content. 

Conclusion 

Also, Do not forget that your conclusion should end the script and not left with a blunt end. It should create an impact on the person reading it and make the reader think about it. It should not be an abrupt end that makes the reader forget the content soon after reading it. 

Self-editing 

Once you are done making a presentable draft, read it out loud. You can see the tone and how it sounds when being read. Take notes while doing this process and note down wherever you feel changes are required. Once you are done implementing the changes, reread it. Give a night’s break at least between every review. 

Review, improvise, review, improvise, and on and on with regular interval of breaks until you find the content delivering the idea you had in mind. 

Feedback 

Do you feel happy with the content? Yes? Great. (P.S: No? Improvise) Now ask someone to read it, and get their opinion. You need not implement their idea, but it might be of certain help for you to improvise from the previous draft. Without feedback, you possibly won’t know how your blog sounds when read by a third person. 

Tittle 

Tittle is very vital to content. It should have an essence of what is inside the body. Also, it should induce the curiosity to read. If the title doesn’t sound attractive, your content wouldn’t even be opened by most people. So an engaging title is as important as the key highlights of the material. 

Metrics 

How do you measure whether your content served its purpose? You should see the parameters, like how much downloads if it’s an ebook or the number of sales if a hard copy. These parameters would help you analyze how well you have fared. Keep improvising in the future steps.
