I have had several conversations the last two weeks that has got me thinking.. what exactly does it take to build a strong procurement team?

A strong procurement team is like the backbone of any business, ensuring cost-effective sourcing, supplier relationship management and ultimately, contributing to the company's bottom line. In essence, the right team will drive your organization's success. The wrong team? Hmmm, we can only imagine..

Assembling and nurturing a robust procurement team is just like setting the foundation for a skyscraper – ensuring not just its height, but its resilience against external pressures. Because in the end, procurement isn't just about securing goods and services; it's about forging relationships, optimizing value and driving the larger organizational mission. And at the heart of all this lies your team. Certainly, building a strong procurement team is truly crucial.

You know I wouldn't leave you without some practical strategies for building a top-notch team. So here goes..


?? Craft the Perfect Team Composition

Recruiting the right talent is pivotal. Look for candidates who possess both technical and interpersonal skills. A successful procurement team requires a diverse skill set. Strive for a balanced mix of skills such as negotiation, relationship management, market analysis, data analytics and project management. Complementing these skills with cross-functional knowledge can be a game-changer. And while you are at it, take some thought for succession planning so that there's always a plan when people exit the team, as well as growth opportunities for team members.

?? Define Roles and Responsibilities

Every member of the procurement team should have a clear understanding of their role. This includes a defined job description outlining their key responsibilities, authorities and the expectations associated with their position. This ensures that everyone is aligned and aware of their contributions to the overall procurement strategy. Also ensure that the reporting structure is crystal clear. Knowing who to approach for approvals, escalations or guidance can expedite processes and decision-making.

?? Maintain Effective Communication

Indeed, effective communication is the bedrock of a strong procurement team. In a field that bridges the gap between suppliers, internal stakeholders and other departments, communication can make or break the efficiency and efficacy of the entire process. Foster an environment where team members feel comfortable sharing insights, ideas and challenges. Regularly conduct team meetings, brainstorming sessions and foster an open-door policy to encourage open communication. Also create mechanisms for feedback from both internal and external stakeholders.

?? Leadership and Empowerment

Empower your team members to make decisions within their areas of responsibility. When individuals feel trusted to make decisions, it not only speeds up the procurement process but also instills a sense of responsibility and ownership. A strong leadership approach involves guiding, supporting and motivating your team to achieve their goals. Acknowledge exceptional performance and efforts of your team members. Recognize their achievements through praise, rewards or incentives to boost motivation and morale.

?? Culture of Continuous Improvement

Encourage a culture of continuous improvement within your procurement team. Regularly evaluate processes, seek feedback and implement enhancements. This iterative approach ensures your team remains adaptable and efficient. Following completion of projects, negotiations, key procurements, etc; encourage the team to document key learnings, insights and best practices. This knowledge repository will be invaluable for onboarding new team members and refining procurement strategies.

?? Invest in Training and Development

Encourage continuous learning and development within your team. Invest in training programs, workshops and certifications to enhance their skills and keep up-to-date with the latest procurement trends and best practices. Note that not all procurement tasks are the same. Therefore, customized training modules designed to address specific roles and challenges, ensure team members get the most relevant knowledge and skills.

?? Metrics and Performance Measurement

Metrics and performance management are the compasses that guide procurement operations towards organizational goals. Set clear performance metrics aligned with your organization's goals. Metrics shouldn’t just be numbers on a dashboard. Dive deep to derive actionable insights. For instance, if a particular supplier's performance is lacking, it might be time to renegotiate terms or seek alternatives. Tracking these metrics not only helps your team measure success and identify areas for improvement, but also helps to ensure that procurement strategies are aligned, effective and consistently driving value for the entire organization.


Building a strong procurement team is certainly not a days job. It is an ongoing journey that requires dedication, adaptability and a commitment to continuous learning. By implementing these strategies, you'll be well on your way to creating a procurement powerhouse that contributes significantly to your organization's success.

Great input there. Thanks very much Efemini F-Awosika MCIPS CSCP I was wondering what happens when the team lead did not have the opportunity to chose their team members? I guess training and development becomes much more important. Then you are faced with budget and time. The points are clear and relevant. Our teams should be dynamic enough to reflect and adapt to the realities at any point in point.
