Before the implementation of the new communication solution, we faced several challenges impacting our clients operational efficiency.
These included delays in real-time communication with key stakeholders, inconsistencies in reporting and escalation processes, which created an opportunity for quantifiable data to support Key Performance Indicators (KPIs).
The issue was first identified through feedback from local and main stakeholders, who noted a need for improved communication and more efficient reporting methods.
Decision-Making Process:
The decision to enhance communication processes was driven by the necessity for instantaneous escalation and automated, factual updates for customers. After evaluating the existing Partner System, we established it was no longer fit for purpose and it was decided to develop a bespoke solution tailored to each of customer’s needs. This approach was not only cost-effective but also allowed for the utilisation of existing system functionalities to improve communication.
Implementation of the Solution:
We took forward a bespoke design with a clear expectation of delivering our customers requirements which included, instantaneous digital reporting through custom reporting accessible to frontline officers.
The reporting provided a central overview to damage, incident reports, health and safety and serious incident reports.
Once we designed, built and implemented the real time dashboard, we switched our focus to training our each officer could effectively use the new system, and escalation groups were established for prompt communication of reports.
The WOW! factor for our clients was a feature we built in with GPS tracking which provided a unique identifier for each officer resulting in automated patrol reports, which was provided through a portal dashboard that allowed us to complete a deep dive for comprehensive reporting during incidents or as KPI reporting.

Results and Outcome:
The new system achieved a paperless working environment, reducing the carbon footprint and significantly improving KPIs and service levels.
Communication became automated and highly efficient, with operations managers using the system to monitor officer performance. The reports generated provided quantifiable data for global awareness and proactive security mitigation.
Reflection and Learning:
This experience highlighted the importance of effective communication in a successful working environment.
On reflection, in future we would use training videos as a further benefit for officers adapting to a new system.
