For all of us, keeping a handle on our 'To Do' lists, multiple tasks, projects, plus our own personal plans on top, can be really overwhelming at times. Staying on top of all this by being organised, is the key to being productive and - quite frankly - keeping sane. This is where AI-driven Personal Knowledge Management (PKM), embedded in tools such as Notion, can play a helpful role.
What is AI-Driven Personal Knowledge Management?
AI-driven PKM can enhance the way which we have traditionally used to collect, organise, and retrieve knowledge. Notion's integrated AI tools can translate languages, summarise chunks of information and even change the tone of your document, whilst grammar and spell checking. Some users find that Notion AI is even better at enhancing content than ChatGPT.
Why Use Notion?
Notion is my tool of choice for my personal knowledge management. I like its flexibility and its ability to integrate with other apps, such as TimeOS. I use Notion to manage everything from my AI work projects and personal goals, plus my coaching client notes and even travel plans. Adding AI makes Notion even more powerful and helps me stay on top of everything and prevent being overwhelmed.
How I Use AI-Driven PKM in Notion
Here’s a few ways I use Notion daily. To keep on top of my to-do list, create and manage my work sprints, life wiki, meeting notes, travel plans and record my coaching clients notes, plus drawing out insights. Using Notion's AI saves me switching into ChatGPT and back again, which can disrupt my focus (as someone who has ADHD).
- Sprint Boards for Work Organisation
Having spent many years as Product Manager/ Product Ops Manager, I have always managed work in sprints. So, I like the way I can use sprints in Notion to create a backlog and then break down my work into manageable chunks, using Notion's sprint boards. AI helps me by analysing my tasks and suggesting the best way to organise them. It can, if I choose, prioritise my tasks based on deadlines, priority, and my own optimum productivity schedule. Notion AI can help me stay on track and keep me focused.
- Life Wiki for Personal Management
My life wiki in Notion is like a hub where I can manage my personal information, such as my medical appointments and side projects, like learning Spanish. AI can help by suggesting a learning schedule and techniques, to learn a language. It can help save a bit of time and again prevent switching into another AI to perform such a task. It’s a bit like having a personal assistant helping to keep my life organised.
- AI Summaries of Meetings
This is one of my favourite features. I use TimeOS to summarise meeting notes automatically. This saves me having to worry about note making during a meeting, which can impact my focus and make me less present. In Teams, for instance, the TimeOS AI Assistant auto captures the meeting transcript and then generates a concise summary and even highlights key action points. This is particularly effective during an interview where note making isn't appropriate. These summaries are then added directly into my Notion workspace, which saves me expending time on manual work and ensures all the key information is captured, centralised and easily accessible.
- Travel Plans
Planning travels can be daunting, especially if - like me - you have ADHD, but Notion makes it easier. I use AI to organise itineraries, suggest optimal travel routes, including stopping off points, and to remind me of important travel documents and deadlines. It help ensure that my travel plans are well-structured and stress-free.

As a coach, managing my clients' information effectively is important. I use AI to help organise my client notes, identify patterns and insights from the sessions and to propose personalised action plans. As ever, AI is not infallible and must be used sensibly and verified.

These summaries can then be imported into a Notion page, which keeps all your meeting notes and AI key points in one central place, which is easy to reference. This super helpful integration helps streamline your workflow and ensures you never miss important information discussed during meetings.

Let AI analyse your Notion data and provide actionable insights. For example, AI can review your past meeting notes and suggest follow-up actions, or identify recurring themes in client sessions. This helps you stay ahead of your tasks and make informed decisions quickly.
