About the Role: The Community Resources & Events Coordinator is a new position that will focus on providing program activities, events, and resources to improve the satisfaction, retention, and outcomes of our program participants and mentoring Matches. We’re seeking someone who will collaborate with the entire agency to implement and connect our Matches to resources that support stability for Littles and their families and provide them with a robust calendar of agency activities and events to participate in. The ideal candidate for this role will enjoy remote work mixed with regular travel throughout the nine Bay Area counties, taking initiative to establish new partnerships and collaborate virtually with multiple internal and external stakeholders.


Key Responsibilities

Partnership Development - Family Resources (30%)

  • Create and maintain a resource pipeline that includes a “warm referrals” system to service partners for parents and caregivers across all programs who may have experienced trauma, have mental health concerns, or would benefit from wraparound services.
  • Participate actively in program workgroups and Match Support team meetings to share updates on resource development projects, and new partnerships, and get feedback for other needs.

Event Planning & Project Management (30%)

  • Develop and manage a calendar of program events and activities to offer 1-2 agency-organized Match events per month:
  • Develop new projects to engage families who are waiting for a mentor to connect to BBBSBA in various ways (ex. Parent/Guardian trainings, “Waiting to Be Matched” events, communications, etc.)
  • Collaborate with Big Futures and School-Based team to support with planning and coordinating logistics for specialized events, as needed.?
  • Collaborate with Program, Development, and Community Engagement teams to look for opportunities to incorporate alumni, volunteers, interns, and ambassadors to support in a one-day events or ongoing basis.

Partnership Development - In-Kind Donations (20%)

  • In collaboration with the Development Team, collaborate with community partners and businesses to secure in-kind donations to offer program participants low/no cost opportunities and minimize agency event costs.

Data Entry & Reporting (20%)

  • Survey program participants to identify needs and interests for resources that will improve the success of their Match.?
  • Develop systems to consistently document and track all partner communications, referrals, attendance, and in-kind donations within Matchforce CRM database (version of Salesforce specific to BBBS).?
  • Develop systems to report on successful events and referrals and outcomes facilitated by referral partners to showcase for team and donor reports.
  • Support Development team to complete in-kind gift processing and relationship tracking within the development Salesforce database for contributions secured in support of program activities.

Miscellaneous

  • Keep inventory of Match Activity Materials (ex. Summer Celebration activities, graduation gifts, snacks for match activities, etc.). Liaise with supervisor and Operations team to purchase supplies when needed.?
  • Provide feedback to recruitment, orientation, and training content for program participants to incorporate a lens on community resources and events.

  • Other duties as assigned – including but not limited to assisting with organizational events, community meetings, recruitment events, fundraising events, donor site visits.

Required Qualifications

  • 3+ years experience with event planning and project management
  • Experience with community or government organizations that provide various wraparound resources for youth and families (housing, income assistance, translation, mental health, etc.)
  • Resourceful and flexible self-starter who takes initiative
  • Excellent time management and attention to detail, must work independently
  • Exceptional verbal and written communication skills and customer service skills
  • Collaborative team player - Confidence in juggling relationships with internal and external stakeholders
  • Value Diversity - Able to seek out and work effectively with others who have diverse perspectives, talents, backgrounds, and/or styles; contribute to a team climate in which differences are valued and supported
  • Must have reliable transportation to facilitate independent travel to meetings and activities in the agency’s service area
  • Passion for the mission of BBBS Bay Area
  • Proficiency in Microsoft Office and Google eWorkspace


Preferred Qualifications

  • Professional experience in a social services setting is preferred
  • Extensive knowledge of Bay Area community organizational landscape and experience providing referrals to youth and families for various services
  • Experience with Salesforce or similar CRM
