Beyond The Signature
As a top-notch notary, you provide a professional and positive closing experience that goes above and beyond the routine task of having a customer sign a document. You're not just there to witness a signature; you're there to ensure clear, legible ID copies, error-free printed documents, secure management of funds and punctual, confusion-free appointments. Your role includes all of these things and more, but for now, let's take a look at the 4 topics below:
Legible Identification Copies
As a notary public, it is crucial to carefully collect clear, high quality copies of the signer's photo identification.? This step is essential for ensuring that the individual's identity is accurately verified and serves as a critical measure to prevent fradulent activities.? We recently learned that county recording offices are requiring the submission of ID copies with the recording documents.? For example, Lee County, Florida has started a pilot program and other counties nationwide may follow suit. This potential requirement further enhances not only your role as a notary public, but the need for legible high quality copies.
Shipping Funds
Some signing agents are putting the customer's funds or voided check into the clear shipping label pouch along with the label. We strongly discourage this practice. Funds should be securely enclosed within the packages being shipped. This practice helps to protect the funds from potential loss, or tampering during transit, ensuring the security and integrity of the financial transaction.?
Moving The Appointment Time
It is essential to adhere to the scheduled closing time communicated to the customers by their title company or lender. Upon confirmation that you are accepting the signing, a notary confirmation will be dispatched to you with the closing date, time and location. In the event that there is a need to alter the signing appointment, it is imperative to seek permission from us prior to making any changes with the signers. You may do so by replying to your notary confirmation email.?
Printing The Package Double-Sided
When preparing the closing package for printing, each page should be printed on only one side and not on both sides of the paper.? Printing single-sided will facilitate legibility and ensure the orderly presentation of the documents.? It is also more efficient to scan a single-sided package.?
