Beyond Busy: Find Time for What Matters Most

This hits home, literally.

I've learned that finding time for what matters most is no small task. It's a journey I navigate thoughtfully, acknowledging past regrets while embracing the opportunity to be present when it truly counts. Reflecting on the words of Paul the apostle, "Be very careful how you live, not as unwise but as wise, making the most of every opportunity because the days are evil."

Paul was warning us that time, specifically kairos time (as opposed to cronos time), can get away from us and we can miss taking hold of what really matters. In ancient Athens, there was a statue called Kairos; it had hair flowing in the front and it was bald in the back. This was to symbolize that we should take hold of opportunity while we can, because once it is past, we've missed it.


In today's fast-paced, demanding world, leaders face a constant barrage of tasks, responsibilities, and decisions. Amidst the chaos, it's easy to feel overwhelmed and lose sight of what truly matters. The Essence of the X-Factor

The X-Factor framework, visually represented by a quadrant matrix, categorizes tasks based on two critical dimensions: Importance and Urgency.

  • Quadrant 1: High Urgency & High Importance (Priorities): This is the realm of immediate action, where crises are managed, deadlines are met, and critical goals are pursued.
  • Quadrant 2: High Importance & Low Urgency (Planning): This quadrant is the heart of strategic thinking, where leaders plan for the future, set goals, and cultivate their teams.
  • Quadrant 3: High Urgency & Low Importance (Delegation): These are often interruptions or tasks that could be handled by others, freeing up the leader's time for more valuable endeavors.
  • Quadrant 4: Low Urgency & Low Importance (Elimination): This is the zone of time-wasters and distractions. Activities here offer little value and should be minimized or avoided altogether. ?

Did you catch that? Every action on your current calendar can fall into one of four categories:


  1. Priorities - let nothing distract you from action
  2. Planning - let nothing distract you from preparing
  3. Delegation - let nothing keep you from releasing
  4. Elimination - let nothing move you to action


Implementing the X-Factor: A Practical Guide

Step 1: Assess & Categorize: Begin by identifying all your current tasks and responsibilities. Then, using the X-Factor framework, categorize each task into its respective quadrant.

Step 2: Prioritize & Act: Tackle Quadrant 1 tasks with urgency and focus. For Quadrant 2, create a strategic plan with clear goals and deadlines. Delegate Quadrant 3 tasks whenever possible and ruthlessly eliminate or minimize Quadrant 4 activities.

Step 3: Regularly Review & Adjust: As mentioned before, the X-Factor is not a one-time exercise but an ongoing practice. Regularly review your tasks and priorities, adjusting them as needed to reflect changing circumstances.

By prioritizing Quadrant 2 activities – those that are important but not urgent – leaders can proactively shape their future and avoid being constantly reactive to crises. Delegation is an essential leadership skill, yet many struggle to relinquish control. The X-Factor provides a clear framework for delegating tasks that are urgent but not necessarily important (Quadrant 3). This not only frees up the leader's time but also empowers team members to take ownership and contribute their unique talents. By trusting and empowering their teams, leaders cultivate a sense of shared responsibility and build a stronger, more capable organization. ?

Joshua I'm coming late to this post, but a powerful question. I'm choosing to get rid of the word busy - it doesn't describe anything anymore....its the norm. My new word is bold "I'm balanced". Priority of role is helping me ... for you : son of the King, husband, father, business owner. There are only 24 hours. One or even two of those roles will be "cheated" because all of them want more hours than you have. Choose wisely! You are forging forward with humility, power, and grace!
