A Better Way to Cleanse Duplicate Microsoft Dynamics CRM Data
Duplicate Data Slows Us Down
Data Quality in CRM helps Users Stay Focused on the Customer
When working in sales, marketing, customer service, or any other business routine that is supposed to be focusing on the customer, your data should facilitate your work. Bad data leads to doubt about simple things like which phone number to call, what's the right spelling of your client's name, or are they even still with that company?
You don't want to appear to not know your customer well. You really should know the kids' names, and where they're going to school. Problem is, the data was captured in multiple records. So, you have to kind of hunt and peck looking for the full picture. While you're doing that, your competitor is zooming along with all the latest info in one place. You're distracted, you're not on the phone yet with your client.
Data Cleanliness Doesn't Have to be Difficult
Microsoft Dynamics CRM Data Deduplication
Microsoft Dynamics CRM provides it's own utility for de-duping data. If you've ever had to use it, it's not bad. It works well enough and gets the job done. There are a couple of issues, though, that can make your task more time-consuming that it has to be.
If you have inadvertently created multiple duplicate records, CRM will only allow you to de-dupe two-at-a-time. If there are exact duplicates, you really don't need to make any decisions on how to merge them, just merge them already. If there are special characters, punctuation, or common words with various abbreviations, then the system might not pick them up as duplicates in the first place.
What You Don't Know Won't Hurt You (?)
If you have Lots of dupe data, how is that affecting business?
Sending the same email to a client multiple times could put your marketing communication in the Junk folder, or worse you could get flagged as a spammer. Calling the same prospect twice, well, that could possibly be seen as a waste of time. And the scenario where the actual data you need is interspersed through multiple similar but-not-identical records... It could be costing you one way or the other; your sanity maybe, if nothing else.
There is a better way to de-dupe your customer data in Microsoft Dynamics CRM. It's not expensive or complicated; and it will help you get the job done faster and more efficiently than the out-of-the box functionality.
