In today’s fast-paced world, managing information is crucial both in personal and professional life. Email archiving plays a fundamental role in effective data management, ensuring access to essential information when needed. With the growing interest in cloud technologies and migration to Microsoft Office 365, many companies face the challenge of choosing the right archiving solution. In this interview with Martin Drexler, Senior Channel Sales Manager at MailStore Software GmbH, we explore the role of email archiving, the support MailStore provides in this process, and the future of this technology in light of upcoming innovations and trends.
What is your opinion on the importance of email archiving? Do you archive your private email messages?
Retaining and managing information is vital for decision-making and being effective in what we do. Don’t matter if we are moving through the challenges of our private or professional lives. Email archiving is exactly one of the functions that helps with that. Yes, I do archive both personal and business email to be able to quickly search and always find the piece of information that is needed.
Currently many companies are facing the decision to migrate to Microsoft Office 365, or they have already done so. How does MailStore support customers in this process?
We are pleased that the trend we see currently is more and more companies realize, how imporatant cyber security and independece of different systems is. While I personally like M365 application suite very much and use it on a day-to-day basis I also see the security and operational limits that come with it. In this context I’d mention 2 main points: MailStore is a great tool that can help with the migration to M365, not only moving the data but also taking care of some of the older content not needed to be moved. However, email archiving is a great example of a function that is important to have separate in the long run and really independent of the primary email system.
With the growing interest in cloud technologies, does MailStore plan to introduce solutions that enable email archiving in the cloud?
Yes indeed, we already have a “private cloud” offering in MailStore SPE that is being provisioned by our MSP partners using different local infrastructures in different regions managed by the partners themselves for their clients. This is a great combination of local and familiar service and hassle-free access to MailStore technology for our customers. Secondly, we are preparing a public cloud offering launched by MailStore and we are very excited about that. It is soon to hit the market…stay tuned ??!

For over the year, we have also been working with MailStore on the Slovak and Czech markets. From your perspective as a Czech, how do clients in this region perceive the need for long-term email retention?
There are many clients that are fully aware and involved in this topic, and many customers that use and benefit from our technology. On the other hand, however, there are still many that don’t really understand the concept, how to exactly approach it and what are all the benefits they can get. Still a lot of evangelization work to be done!
What do you think email archiving will look like in 10 years? Will it still be necessary?
Are we going to need lawyers and auditors in 10 years? Are we going to need to have complete control of our company’s business communication? I think email archiving is here to stay.
