The Solution:

We stepped in to automate the entire workflow using Zoho Books API integrated with a middleware solution built in PHP and MySQL. Here’s how it works:

1/ Automated Data Extraction: Every 15th of the month, our middleware fetches relevant financial data from Zoho Books through an API.

2/ Statement Generation: The middleware generates the PDF versions of all required landlord statements and stores them on a server.

3/ Approval Email Workflow:

  • Once the statements are ready, the system sends an email to the client with a summary and a link for approval.
  • Upon approval, the workflow continues automatically.

4/ Automated Dispatch:

The system uploads the statements back into Zoho Books and automatically dispatches them to the landlords via email.

Results:

  • 30% Time Saved: The automation eliminated repetitive manual tasks, freeing up considerable time for the client’s team to focus on value-added activities.
  • Improved Accuracy: Manual data input errors were significantly reduced, resulting in more accurate statements.
  • Increased Efficiency: The automation reduced the process time from hours to minutes, providing the client with timely and error-free statement distribution every month.

Email Approval Flow:

The client receives a detailed, automated email summarizing the total number of statements and a button/link to approve the statements. Upon clicking ‘Approve’, the workflow continues without requiring any further manual intervention, and the statements are automatically dispatched.
