Asset Configuration and Basic Functionality in asset management | Part -5

Hello everyone and welcome back to the 5th part of asset management.

In this part, we are going to cover the below-mentioned topics.

1. Asset creation manually

In order to create an asset in the asset management module manually. Follow the below-mentioned steps.

1.?????Go to Asset management > Assets > All assets

2.?????Click New

3.?????Enter Asset Identity.

4.?????Enter Name.

5.?????Select the Asset type “Car”.

6.?????Select manufacturer “Honda”.

7.?????Select Model “Civic-2022”.

8.?????Click Ok.

A new record of asset has been created successfully.

2. Asset creation from Purchase order


We have just created asset from asset form. Now let’s go to another process to create asset in system by using the purchase order. Follow the below mention steps.

First create a new item in system as a standard process.

1.?????Go to Product information management > Products > Released product.

2.?????Click New.

3.?????Enter Product number.

4.?????Enter product names.

5.?????Select item model group.

6.?????Select Item group.

7.?????Select storage dimension group.

8.?????Select tracking dimension group.

9.?????Select the Purchase, Sales and Inventory unit.

10.??Click Ok.

Now go back to asset management module and set the asset items.

  1. Click?Asset management?>?Setup?>?Assets?>?Items.

  1. Click?New?to create a new asset item.
  2. Select the item in the?Item number?field. When you leave that field, the item name is automatically inserted in the?Product name?field.
  3. On the?General?FastTab, select an asset type for the item.
  4. Select asset manufacturer and model for the item.
  5. Save the item.

Now let’s go to create a purchase order.

1.?????Go to Procurement & Sourcing > Purchase order > All purchase order.

2.?????Click New.

3.?????Select Vendor, Site & Warehouse.

4.?????Click OK.

5.?????Click Add Lines.

6.?????Select or Enter Item Number Car-0012”.

8.?????Click Receive tab.

9.?????Post Product receipt.

When you post the product receipt, the asset record will show in pending asset form.

Navigation: Asset management > Assets > Pending Asset.

Next select the record and Click on Create assets to make asset record.

Go to all assets screen to verify the asset. You will notice here the asset id will be the same as PO but we can edit the Assed ID here.

For changing the Asset ID, open the asset record and click on edit.

Enter New Asset ID here and name.

3. Asset Status Update

After creating the asset. The next step is to change the status from New to Active.

1.?????Go to Asset Management > Assets > All Assets.

2.?????Select Asset.

3.?????Click Update Asset State in lifecycle state.

4.?????Select the Active state and click Ok.

4. Set up Multilevel Asset:

In D365 Asset management, we have the functionality to create an asset and sub-asset that is called a multi-level asset. For example.?A car is a parent asset that has sub-assets like the Engine, Body. In the production line, it’s a common practice that Machine is divided into multiple assets like motor, generator etc.

Let’s go to see different way to setup the multiple level asset.

First create the asset with any method manual or purchase order.

If you are creating asset manually then you will have an option do define the parents’ asset for newly created asset.

Incase, if you have missed to select the parents asset so don’t worry. Microsoft asset management provide a functionality to move the asset into parent.

1.?????Select the Asset that needs to move into parents.

2.?????Click Move to parent asset.

5. Asset Spare Part

Now, let’s setup the asset spare part for car. Asset spare part show the list of items which is going to use in maintenance work.

Let’s take an example of Car. It has a lot of items that can replace in future or when maintenance work request raise.

1.?????Tail Lights

2.?????Tire

3.?????Side Mirror

4.?????Hubcap

5.?????Window

6.?????Fender

7.?????Fog Lights

8.?????Headlight

9.?????Grille

10.??Cowl Panel

To set up the Asset spare part.

1.?????Go to Asset Management > Assets > All Assets.

2.?????Select Asset.

3.?????Go to General Fast tab > Related information > Spare parts.

4.?????Click New.

5.?????Add spare items which will use in work order in later.

6.?????Click Approve.

6. Installed asset in location

When we created the asset, the asset location was default. Now let’s move the asset into the actual location.

1.?????Go to Asset Management > Assets > All Assets.

2.?????Select Asset.

3.?????Go to Asset Fast tab > Maintain

4.?????Click Install asset at location

5.?????Select the Functional Location from drop down.

6.?????Click Ok.

Whenever the location is updated for the asset, log will be maintained in the systems and we can review the log from the functional location screen.

7. Replace Asset.

Replace operation is used to temporarily remove an asset from the asset structure so that it can be repaired or refurbished. For example, we have some issues in an asset that can not be repaired in the plant. We have to send back to the vendor repairing center and vendor send another asset for temporary use.

In this blog of series, we have created two assets (Car) & (Engine)

Let’s create one more asset as engine and then we will replace current asset (Engine) from newly created assets.

Now follow the below mention steps to replace the asset from parent asset.

1.?????Select the asset that needs to replace.

2.?????Click Remove from Parent asset.
