The Art of Time Management and Prioritization: Lessons From the Cockpit

Throughout my journey as a fighter pilot and today as an entrepreneur, I've learned invaluable lessons about time management and task prioritization.

For starters, it's important to note that time management isn’t intuitive for most of us. It's a learned skill that is honed through consistent practice and discipline.

With that in mind, in this installment of "Inverting Your Mindset," I'll help you take control of your schedule so you can produce higher-quality output in less time.

Understanding Time Management

Many assume formal "time management" is a derivative of "multi-tasking" (which is a myth) or cramming as many tasks as possible into a day.

Managing our time daily is a strategic activity requiring you to make conscious decisions about where to focus your energy.

It's about making the best use of your time to achieve your goals while maintaining a work-life balance.

"Life is long enough, and a sufficiently generous amount has been given to us for the highest achievements if it were all well invested." - Seneca.

It's aligning your daily actions with your long-term objectives and ensuring that every minute of your day contributes to your goals.

Getting a grip on your time will boost your productivity, reduce stress, and grant you a more fulfilling professional and personal life.

Identifying Time Wasters

Before we start working, it's important to know which non-essential tasks are taking up too much of our time.

Conducting a "time-waster audit" is an excellent first step.

Some common time-wasters are excessive meetings, checking emails excessively, and scrolling through social media.

These activities may seem harmless, but they can take up a significant amount of time and distract us from more important tasks.

To start making changes, track your daily activities to see how much time you spend on non-essential tasks. You may be surprised by how much time you waste.

Another effective strategy is setting boundaries.

Allocate specific times for checking emails or attending meetings. Avoid multitasking because the brain can only focus on 1-2 tasks at a time.

Attempting to focus on more may seem efficient, but it actually divides your attention and diminishes the quality of your work.

Identifying your time-wasters is the first step to minimizing them.

The Next Closest Alligator

Once we've minimized our time-wasters, our next step is to focus on organizing and prioritizing our remaining tasks.

In pilot training, we were often told to focus on the "next closest alligator to the boat."

This metaphor illustrates the importance of addressing the most immediate and pressing challenge first.

In the vast sea of responsibilities and deadlines, it's easy to feel overwhelmed.

The key is not to fixate on the entire journey or the cumulative challenges but to zero in on the most immediate task.

Imagine starting a marathon fixated on the daunting 26 miles ahead. Such a perspective can be overwhelming, potentially leading to demoralization or performance decline.

Instead, focus on reaching the first mile, then the 5K mark, followed by the 10K, and so forth.

Breaking down a large goal into smaller, manageable milestones makes the journey more approachable and less intimidating.

The Art of Prioritization: Lessons from the Cockpit

Of course, not everything works out so perfectly. Sometimes, issues arise that need our immediate attention.

In the cockpit, during emergencies, pilots follow a structured thought process: maintain aircraft control, analyze the situation, take proper action, and land as soon as possible.

This framework offers a valuable approach to time management, especially when unexpected challenges arise.

1. Maintain Aircraft Control:

In a crisis, the primary focus is maintaining control of the aircraft – ensuring it's flying safely.

Putting all your focus on what is going wrong can lead to a worse situation when you stop attending to other essential tasks. In the jet this is making sure you avoid terrain or any other aircraft around you.

For you, that might mean ensuring you’re still taking care of yourself (eating, sleeping, etc) or maintaining the day to day operations that keep your business going.

2. Analyze the Situation:

Before making any big decisions, take the time to understand the situation fully.

Rushing into actions driven by emotion or incomplete information can lead to missteps. Even in the jet we’d intentionally pause and assess before taking action. Often, slower is faster.

3. Take Proper Action:

Once you clearly understand the situation, identify the immediate action that can help steer things back on track.

Pick the smallest easiest thing that will move the needle and do it. Don’t let yourself get stuck in perpetual analysis.

(Tackle the next closest alligator!)

4. Land as Soon as Possible:

After navigating the immediate crisis, bringing things back to normalcy is crucial.

This is your chance to evaluate and improve your habits, situation, and past decisions. Maybe this was a one-off disaster, but often there is something we can take ownership of and change for the future.

Bringing it Home

Whether you're navigating the complexities of a high-pressure career, managing personal challenges, or simply trying to improve your day-to-day efficiency, these principles and techniques offer a framework for effective time management.

I encourage you to reflect on these insights and apply them to your routine.

Remember, time is your ally - make it count.
