Time Management: Lets Get Real

Lets deal with the elephant in the room here. You know about time management. You've probably read articles and books on it, maybe even attended a webinar or two. The question is – have you nailed it yet or is there room for improvement?

How is Time impacting your business – is it missed deadlines, increased stress levels, decreased productivity?

I’ve witnessed first-hand how transformational effective time management strategies have on businesses and individuals.

The truth is there's never enough time to do everything. We all have the same 24 hours in a day, yet some people seem to achieve so much more than others. The secret lies in prioritisation, about making conscious choices on how you spend your time, focusing on the activities that truly matter and letting go of the rest.



What's your purpose - where are you heading?


Purpose: Your North Star

So, how do you know what to prioritise? The answer lies in your purpose.

Your purpose is your North Star, guiding your decisions and actions. Its the driving force behind your time management. If you dont know where youre heading and why, how will you know whats going to get you there?

Take some time to reflect on your purpose. Where do you want to be in 5 years? What’s the long term vision of the business? What are you passionate about?

Once you have a clear understanding of your purpose, you can start to align your activities with it.

Remember, time management is not about cramming more activities into your day.

Its about making conscious choices about how you spend your time, so you can focus on the things that truly matter and move closer to your goals.


The Four Pillars of Time Management

Effective time management rests upon four fundamental pillars:

  1. Analysis: The first step (first win) towards mastering time management is to know where your time is currently going. Track your daily activities and identify time-wasting habits or distractions that are hindering your productivity. Just doing this exercise will open your eyes and you’ll instantly see where you can save time.
  2. Planning: YOU WILL REDUCE THE AMOUNT OF TIME THE TASK TAKES IF YOU PLAN IT! I could do a whole article on planning, for now trust. Take time to think it through, what needs to be done, what’s the potential problems, who is doing what and when
  3. Delegation: When time is precious and deadlines are looming, it’s human nature to just “Do it myself”. What is the impact on your team when you do that? You’re telling them you don’t trust them enough and that they don’t need to think they just need to come to you (among other things). Is that the message you want to send to your team?
  4. Self-Management: Time management is not just about managing your schedule; it's also about managing yourself. Cultivate self-discipline, focus, and the ability to prioritise tasks effectively. Remember, you can't manage time itself, but you can manage your actions and choices within the constraints of time.

The Process for Success: A Step-by-Step Guide

  1. Identify Your Goals: What do you want to achieve with your time? Whether it's launching a new product, expanding your business, or simply creating more space for personal well-being, having clear goals is essential for effective time management.
  2. Prioritise Your Tasks: Not all tasks are created equal. Use a prioritisation system, such as the Eisenhower Matrix (urgent/important), to identify the most critical tasks that require your immediate attention.
  3. Create a Schedule: Develop a daily or weekly schedule that allocates specific time slots for different types of tasks. Be realistic in your planning and allow for flexibility to accommodate unexpected events.
  4. Eliminate Distractions: Identify and eliminate common timewasters such as social media, email notifications, and unnecessary meetings. Create a dedicated workspace that is free from distractions and ring fence your focused time.
  5. Delegate Effectively: Identify tasks that can be delegated to others and provide clear instructions and expectations. Trust your team to handle the delegated tasks and resist the urge to micromanage.
  6. Review and Adjust: Regularly review your schedule and progress towards your goals. Adjust your plan as needed to accommodate new priorities or challenges.


Hints for Success: Maximising Your Time Management Efforts

  • Do It in Advance: At the end of each day plan tomorrow, do the same for the week on a Friday. Many benefits to this – trust me you’ll improve productivity by 10% when you and your team do it. ?
  • Break Down Large Tasks/Project: When you’re low on energy or tired your brain will avoid you doing bigger tasks which seem to need more thinking time. Make it easy – break them into micro tasks. Ie what’s the first three things I need to do to get started?
  • Do the Toughest Things First: Tackle the most challenging tasks when your energy levels are high. This will reduce procrastination and also give you a sense of accomplishment that will motivate you to complete the rest of your tasks.
  • Schedule Time for Delegation: Include scheduled time in your plan to oversee, train, and review the work you have delegated. This make sure delegated tasks are completed effectively and efficiently.
  • Schedule on Importance, Not Urgency: If you prioritise tasks based on their importance rather than their urgency, you'll find that the urgent tasks often take care of themselves.

Sometimes you must slow down to speed up. Time management is a frame of mind as well as a set of techniques.
