Aligning Communication & Text
I want to continue our conversation on effective text presentation and communication skills. As creatives, we understand the importance of organizing visual components to enhance quick consumption. That's why I'm sharing some valuable tips that anyone can apply to their next spreadsheet, report, post, email, or any written communication.
We've previously discussed the rule of 3 and font selection, and now let's dive into the topic of text alignment. Consistency in text alignment plays a crucial role in facilitating information processing for the reader. When text is inconsistently aligned within a document, it requires more cognitive effort and increases the chances of misunderstanding. So why not make it as easy as possible for your audience?
First things first, let's check for consistency. As an educator, I often emphasize this point to my students. Whether it's a project for their portfolio, a presentation, or even a resume, inconsistent alignment catches my attention before I read a single word. I know that misalignment can be a significant distraction.
After reviewing over 200 resumes in the past month alone and sometimes up to 120 student presentation pages in a single week, I've developed an eye for spotting alignment issues. I can notice even the slightest variations, such as a single letter in a different font size(even just 1 point) or slightly off left or center alignment due to spacing. But don't worry, I don't expect you to have the same level of alignment recognition just yet. Here are some simple tips to help you out:
1?? Print it: Review both digital and printed material. You'd be surprised how much more you notice (with less effort) when reviewing a printed version. Grab a ruler and check for consistent alignment. I've used a ruler many times for this purpose.
2?? Blow it up: No, I don't mean destroy it! Magnify the document on your screen. I often use the edge of my screen or window as a makeshift ruler to check alignment.
3?? Get an editor: Have someone else review your work. It's much easier to spot alignment issues when you're looking at someone else's work. As the creator, your mind can automatically correct alignment errors subconsciously. I'm no exception to this rule.
