Use AI (ex: ChatGPT, Microsoft Copilot) to Optimize Your Email Use

The number of emails that most full-time employees with office jobs receive and send in a day can vary widely depending on their specific role, industry, and company culture. However, on average, studies have shown that full-time employees receive and send anywhere from 50 to 100 emails per day, 10K - 30K each year. Beyond email, we chat a lot. In my last job, we used Cisco Webex to live chat each other. The number of messages I received and sent via chat was in the hundreds daily. In my role as Lead Incident Manager, these chats were serious, technical, detailed, start/stop-server-AB12-now level of communication. Not much fluff during incident chats. Grammar was ignored, but vocabulary was key, including made up terms. AI can help you communicate more effectively especially in emails and chats.

Proofreading: Before sending out important emails, you can use ChatGPT to proofread and edit your messages for grammar, clarity, and tone. This can help ensure that your emails are professional and error-free.

Email Templates: ChatGPT can generate email templates for common types of messages, such as follow-ups, introductions, or thank-you notes. This can save you time and effort by providing pre-written content that you can customize as needed.

Managing Email Overload: If you're struggling to keep up with your inbox, ChatGPT can help prioritize and organize your emails. You can use it to create filters, set up automatic responses, or develop strategies for managing email overload more effectively.

Scheduling Emails: ChatGPT can assist in scheduling emails to be sent at specific times or dates. This can be useful for ensuring that important messages are delivered at the most opportune moments.

Thanks, Alain. Good insights! Though I use AI a lot for generating my weekly news videos, I must admit, I don't use it for emails. The proofreading and clarity aspects seem most useful to me. The caveat is that AI uses language we don't use in the vernacular. I find myself cleaning up a lot of AI generated content that just sounds bogus (i.e., "Imagine a world where emails are extraordinarily easy to write and exquisitely written...") No one writes this way, LOL!
