AI in Project Management: The Super Spanner in My Toolkit??
Okay folks, let's talk about AI in project management – and no, it's not about to steal your job and replace you with a robot that never needs coffee breaks! ????
I've been tinkering with AI tools in my project management work lately (Copilot for M365 has become my digital sidekick), and I wanted to share some real-talk about how this tech is changing the game.??
From Spreadsheet Nightmares to AI Dreams??
Remember the days of manually updating those monster project spreadsheets? You know, the ones where changing one date meant recalculating 47 other cells and then spending your Friday night sending update emails? Yeah, those were the days... said no project manager ever.??
AI is like that friend who's weirdly good at math and never gets tired of doing the boring stuff. It's not replacing my job – it's just handling the parts that made me question my career choices at 11 PM on a Wednesday.??
Five Ways This "Super Spanner" Is Making My Life Easier??
1. It Spots Trouble Before I Need Antacids??
My AI tools scan through project data and basically say, "Hey, I've seen this pattern before, and it usually ends with everyone panicking in two weeks." Last month, it flagged a resource conflict I hadn't noticed that would have turned our launch timeline into a fantasy novel. Crisis averted, no emergency pizza required!??
2. It Does My Admin Work While I Do the Human Stuff??
Let's be honest – nobody became a project manager because they LOVE sending reminder emails and updating status reports. My Copilot for M365 now handles a chunk of that administrative avalanche, which means I can spend more time actually talking to my team (you know, those human beings with ideas and feelings).??
I've gotten back roughly 8 hours a week. That's like having a whole extra day to focus on the work that actually needs a human touch – or theoretically enough time to finally make it to the gym (still working on that part).??
3. It Helps Me Make Decisions Without a Crystal Ball??
When faced with a fork in the project road, AI helps me play out different scenarios without needing parallel universes. "If we take route A, historically similar projects ran into these three issues. If we choose route B, we'll likely need more resources but finish faster."??
It's like having a time machine, but without the paradoxes or need for plutonium.??
4. It Turns Meeting Gibberish Into Actual Documentation??
We've all been there – a one-hour meeting that could have been an email becomes an email that nobody has time to write. AI with natural language processing now listens to our meetings, captures the important bits, and organizes them into actual useful documentation.??
I no longer have to decipher my own hurried notes that mysteriously contain the phrase "purple monkey dishwasher" with no context whatsoever.??
5. It Adapts When Reality Happens to Our Beautiful Plans??
If there's one constant in project management, it's that your perfect plan will last approximately 2.7 seconds after kickoff. Rather than spending hours recalculating timelines manually, AI continuously adjusts schedules and resource allocations as circumstances change.??
It's like having a GPS that reroutes you when there's traffic, instead of stubbornly insisting you drive through the ocean because "that was the original plan."??

The Human Touch: Still Not Optional?
Here's the thing though – while AI is an amazing super spanner in my toolkit, it can't replace the uniquely human elements of project management. My AI assistant can't:??
- Notice that Sarah seems stressed and might need support with her deliverables??
- Navigate the politics when two department heads disagree on project priorities??
- Build genuine trust with stakeholders through empathy and understanding??
- Come up with creative solutions to unprecedented problems??
- Bring donuts to the team when morale is low (though it can remind me to order them)??
The most successful approach I've found is using AI for what it does best – processing data, identifying patterns, handling routine tasks – while I focus on leadership, relationship-building, and the strategic thinking that keeps projects aligned with actual human needs.??
Behind the Scenes: How AI Helped Write This Article??
I’ll let you in on a little secret – this article is itself a product of AI collaboration. While I crafted the vision and key points, I turned to an AI writing tool (Claude) to help structure my thoughts and refine the narrative. Think of it as having a brainstorming buddy who never gets writer’s block and can churn out coherent drafts faster than I can brew my next cup of tea.??
Using AI for writing doesn’t mean outsourcing creativity – it’s more like using a map when planning a road trip. I steer the direction, make the stops, and add the personal touches, but the AI provides invaluable guidance to ensure I don’t get lost along the way.??
Before publishing, I also used Copilot for final review and enhancement, ensuring clarity and authenticity. Together, these tools helped me craft an article that reflects my genuine insights and experiences while saving time and brainpower.??
What's Next? More Super Tools in Our Belt??
As we look ahead, I'm particularly excited about:??
The future isn't AI replacing project managers – it's project managers with AI superpowers delivering better results with less busy work.??
Dipping Your Toes In The AI Waters?
Final Thoughts??
AI in project management isn't about replacing people with robots – it's about giving humans better tools. Think of it as upgrading from a regular spanner to a super spanner that adjusts its own size and occasionally reminds you that you've been using it upside down.??
I'm finding that this technology lets me be more human in my role, not less. It handles the mechanical aspects so I can focus on the parts of the job that actually need my human brain, creativity, and occasionally questionable jokes.??
What's your experience been with AI tools in your project work? Have you found your own super spanner? Or are you still skeptical? Drop your thoughts in the comments – I promise an actual human will read them (that's me, in case you were wondering)!

2 周Love the comment about AI being like a friend who's good at maths and never gets tired of doing boring stuff! That's a great way for us all to think about AI. Then we can focus more on supporting people to be truly innovative - because that's where our value will still lie in the AI-future.

2 周Hey Dave! Hope you're keeping well. I also chuckled along like others have mentioned. Great article! I read Co-Intelligence (https://www.penguin.co.uk/books/460207/co-intelligence-by-mollick-ethan/9780753560778) a while ago and the "Invite AI to everything" thing has always stuck with me. It's this sort of experimenting and discovering which tasks in our field of work we can have AI do and then (like you say) focus on the human side of leading large Programmes or Transformations.
