Responsibilities:?
· Maintain detailed enrollment and contact lists utilizing?SalesForce?(internet database)?
· Assist in the preparation of regularly scheduled classes – ensuring books are printed, supplies are available, etc.?
· Maintain student filing system?
· Handle sensitive information in a confidential manner – when students enroll in a course, payment information must be forwarded to accounting for processing.?
· Assist with customer invoicing and tracking of accounts receivable?
· Write letters and emails on behalf of owner/instructor(s) as requested?
· Provide general support to students/visitors?
· Answer and direct phone calls?
· Provide information by answering questions and requests in a timely manner?
· Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies?
· Carry out administrative duties such as filing, typing, copying, binding, scanning etc.?
· Cover the reception desk when required (i.e., when class is held at the school)?
· Maintain professional and technical knowledge by attending partial courses at the school?
Requirements:?
· Proven administrative or assistant experience?
· Working knowledge of the internet database system?SalesForce??
· Proficient in Microsoft Office programs (Word, Excel, Outlook)?
· Excellent time management skills and ability to multi-task and prioritize work?
· Attention to detail and problem-solving skills?
· High school diploma or equivalent; college degree preferred?
· Administrative Writing Skills – must be able to write and reply to emails professionally, accurately, and intelligently?
· Demonstrated level of professionalism over the phone and in-person?
