Adding and Updating Digital Contact Information in NPPES

Adding and Updating Digital Contact Information in NPPES

Behavioral health professionals often engage in collaborative efforts and share patient files. Whether seeking the expertise of another therapist or transferring patient data to a different practice, the exchange of confidential patient information is common. If you use electronic health record (EHR) technology for these exchanges, it is vital to include your therapist's endpoint in the national directory of healthcare provider digital contact information.

Keeping your contact details updated in the directory is now mandatory. It’s essential for you and any colleagues in your practice to post your endpoints.

New CMS Endpoint Requirements

The Centers for Medicare & Medicaid Services (CMS) launched the Promoting Interoperability program to encourage the use of EHR technology for secure patient information exchange. Healthcare providers across various specialties, including behavioral health, faced difficulties finding their coordinating providers' direct addresses under this program.

To address this, CMS and the Office of the National Coordinator for Health Information Technology (ONC) introduced a mandate under the 21st Century Cures Act Final Rule, requiring providers' electronic addresses to be listed in a centralized directory. Providers must now add their digital contact information to the National Plan and Provider Enumeration System (NPPES).

NPPES enables providers to easily locate each other's direct messaging addresses, facilitating secure patient information exchanges. As a therapist or counselor, updating your information in NPPES ensures that other healthcare professionals can find and exchange patient data with you efficiently.

What Are Direct Messaging and Endpoints?

Direct messaging involves the secure exchange of electronic health information (EHI), similar to encrypted emails, adhering to HIPAA privacy and security standards. Healthcare providers can pull data into or out of patient EHRs, allowing seamless information sharing between different systems.

Endpoints are standardized, secure methods for sending and receiving encrypted EHI over the internet. They describe the connection locations for electronic information delivery. Direct messaging addresses often serve as endpoints, ensuring secure and appropriate information exchange.

NPPES needs complete and accurate details for endpoints, whether referred to as direct messaging or other types, to facilitate proper information exchange.

How to Add Digital Contact Information in NPPES

NPPES holds various types of digital contact information for providers, including Fast Healthcare Interoperability Resources (FHIR) server URLs, direct addresses, and other query endpoints. This centralized index simplifies locating contact details for providers and facilities.

To update or add digital contact information, log into your NPPES account, select the provider you wish to update, and click the “Health Information Exchange” tab. You can then edit and update the endpoint type, address, and location.

·???????? Endpoint Type: Choose from options such as SOAP URL, FHIR URL, RESTful URL, CONNECT URL, Other URL, or Direct messaging address. This selection determines how medical information will be securely shared.

·???????? Endpoint: Provide the actual direct messaging address or URL, which should not include personal email addresses but should be linked to your practice’s EHR system.

·???????? Endpoint Location: Select an existing location associated with your NPI or enter a new address. New addresses will be subject to standardization checks.

After updating the required information, save and submit your changes. Repeat the process for other providers in your practice. Ensure any changes to direct messaging addresses are updated in NPPES within 30 days.

The Importance of Updating Digital Contact Information

Patient privacy is a top priority in healthcare, governed by regulations like HIPAA. As technology advances, the methods for storing and exchanging EHI have evolved from traditional to electronic means.

Providers who fail to update their contact information in NPPES make the health information exchange (HIE) process more difficult and less efficient. Outdated contact information leads to wasted time and resources in locating endpoints. Keeping your NPPES information current improves interoperability, facilitates efficient information exchange, and helps maintain patient care quality.

Consequences of Not Adding Contact Information

Not adding or updating digital contact information in NPPES can have serious consequences. CMS publishes a quarterly report listing providers who have failed to update their information. This oversight may also lead to an information blocking violation, which hampers the exchange of health information.

If your contact information is missing, you can still add it before the next report to avoid being listed. Keeping your NPPES endpoints updated ensures smooth digital health information exchanges and helps you stay informed about patient care from other providers.
