Do you ever feel like there aren't enough hours in the day?
A recent Gallup study showed that burnout is more a case of how employees deal with and manage their workload rather than the amount of work that actually needs to be done.?
If we simplify this burnout can be caused by a lack of time management skills, and feeling like you don’t have enough hours in a day to complete the workload given to you.?
- Managing Energy. Each task we complete in a day requires us to be in a different mental state. Some tasks might require us to be social, some might require us to be analytical, and some might require us to be creative and solve problems. What I like to do is to look at each day and batch similar energy level tasks together so I don’t spend time out of flow trying to change my energy state. This gives me more productive hours in a day. In one of your upcoming team meetings it might be time to sit down with your team members and examine what types of energy they are using throughout the day and if they could be subconsciously setting themselves up for failure and bringing down their productivity.?
- Productivity Blocks. Procrastination is usually a response to overwhelm, and overwhelm comes when a task seems too big or intimidating. So my team member’s break their days up into 2-hour long blocks so they know that the most time they will spend on the same task is two-hours and then take 20-30 minutes doing something they find more enjoyable afterwards. Is this something you could be implementing with your team?
- Banish The Email Time Sink. Did you know that on average office workers or business owners spend 2.5 hours checking and replying to emails. One of the easiest ways to lessen this time sink is to give yourself two 15 minute time-slots per day to check your emails and then close the app at all other times. Better yet, hire a VA or EA who can help take care of your inbox for you so that you only respond to the emails that really need you. While you might be lucky like me and have an EA or VA to filter your emails for you, most of your team don’t have this luxury and the stress and anxiety of constantly checking their emails disrupts their flow. Let them know that not all emails are urgent and that it’s okay to close their inbox and simply focus on their work.?
- Take Breaks. We are actually more productive when we take our breaks. Whether it’s leaving your desk to eat lunch or making a mid morning ritual of going to your favourite coffee shop to grab a coffee, these moments away from our desk make us more productive when we go back to it. That’s why as the leader you must encourage your team to step away from their desk, ESPECIALLY if they are stuck with a problem.?
- Create Team Support. A team that communicates clearly, has the right support systems in place, and knows why they are doing what they are doing, performs better, has less stress and faces less burnout. If you are a manager your key role is to provide the support your team needs, to have them performing at their best which also lessens your workload. Providing great support is a win-win for everyone.?
