5 Tips for Clear Communication - A Must for Success in the PR Agency/Client Relationship

In my 30+ years of providing public relations services, I've learned that client communication styles vary greatly. Some clients are highly organized and desire weekly meetings to review progress and plan future outreach, while others are more spontaneous, communicating on the fly via email and text. Regardless of style, one crucial factor remains constant: the importance of providing detailed information as early as possible. Surprisingly often, vital details emerge after we have already pitched a story or sent a press release. Important details can be left out because there is an assumption that we know the company’s culture or previous events or activities. Sometimes, there is a negative event or a company weakness that no one wants to mention, but which can be significant when it comes to media outreach. In addition, information that may seem trivial to a client can often substantially impact how we craft a pitch.

Early and detailed communication is crucial for a successful PR strategy. It allows for the crafting of the most effective PR approach as well as the most effective pitches possible. It also helps PR professionals identify potential challenges and avoid PR pitfalls. Finally, it ensures that the PR team is equipped to meet the specific goals of the client. Ultimately, strong communication is the cornerstone of any successful PR campaign. By working together and sharing all the necessary information, the client and the PR team can achieve the best possible results.

Here are a few more details to understand how to ensure a successful agency/client relationship.

The Foundation of a Strong PR Strategy

Your PR firm acts as your advocate, crafting compelling narratives and securing media coverage that aligns with your goals. To do this effectively, they need a deep understanding of your organization, its mission, target audience, and key messages. Withholding information or providing incomplete details hinders their ability to develop a strategic and impactful PR plan.

Mitigating Risks and Avoiding Mishaps

PR professionals are skilled at anticipating potential challenges and managing crises. But they can only do so if they have all the facts. Failing to disclose pertinent information, such as potential conflicts of interest, past controversies, or sensitive issues, can lead to embarrassing situations and damage your reputation. Transparency and open communication are essential for proactive crisis management.

Maximizing Opportunities and Securing Coverage

The media landscape is fiercely competitive. Journalists and editors receive countless pitches every day. To capture their attention and secure coverage, your PR firm needs to present a compelling and newsworthy story. Providing them with unique angles, interesting statistics, and access to spokespeople or experts can significantly increase your chances of securing media placements.

Building Trust and Fostering Collaboration

A successful PR partnership is built on trust and mutual respect. By sharing all relevant details, you demonstrate your confidence in your PR firm's abilities and empower them to represent you effectively. Open communication fosters collaboration, allowing your PR team to provide strategic counsel and tailor their efforts to your specific needs.

Tips for Effective Communication with Your PR Firm

  • Establish Clear Communication Channels: Define how and when you will share information with your PR team. Regular meetings, email updates, and shared document platforms can facilitate efficient communication.
  • Provide Timely Information: Share news and developments as soon as possible, especially if they could impact your PR strategy or generate media interest.
  • Be Transparent: Disclose any potential challenges, sensitive issues, or past controversies. Your PR firm can help you navigate these situations proactively.
  • Share Your Goals and Expectations: Clearly articulate your PR objectives and desired outcomes. This will help your PR team tailor their efforts and measure success.
  • Be Responsive: Respond promptly to inquiries from your PR firm and provide any additional information they may need.

Finally, providing complete information to your PR firm is not just a courtesy; it is essential for achieving PR success. By fostering open communication and sharing all relevant details, you empower your PR team to develop strategic campaigns, secure media coverage, manage crises effectively, and build a strong, lasting partnership. Remember, the success of your PR efforts depends on the strength of your collaboration. Invest in that relationship by prioritizing transparency and providing your PR firm with all the tools they need to represent you effectively.

100% accurate! I saw another LI article the other day saying it’s crucial for clients to give their PR teams much more than the just the information for a press release. We need the background, any obvious angles in the industry, primary data, access to spokespeople and even customers and their case studies to hit top tier media, and even then the timing is crucial and a long game. PR has so many longstanding benefits and plays a huge role in trust with your audience and sharing a brands mission in an authentic way that no ad can accomplishment. Having all these pieces and communication makes it even more impactful and possible. ????
